Palladian Partners, an Altarum company, is looking for a Jr. Administrative Assistant, Government Contracts to join the Contracts Administration and Business Operations Services team. The Jr. Administrative Assistant, Government Contracts will report to the Director of Contracts and Operations. This position will assist the Contracts Administration team by handling administrative tasks, developing and maintaining processes, and managing the compliance areas in which they are responsible. The Jr. Administrative Assistant, Government Contracts must be able to work independently, as well as within a team unit, be a self-starter, proactive, and take initiative in order to ensure the Contracts Administration team is organized, and operates efficiently.

Responsibilities

Contracts Support

  • Assist with receiving, reviewing for accuracy and completeness, and routing contract requests

  • Complete various administrative forms

  • Support projects in deadline-driven environment

  • Assist with maintaining complex contracts databases and files with a high level of accuracy

  • Assist with conducting compliance audits

  • Assist with conducting research

  • Conduct filing and data entry tasks

  • Draft, edit, and produce contracts correspondence for internal and external audiences

  • Schedule and attend contract meetings

  • Respond effectively to changing workloads and priorities

  • Assist with company-wide online timesheet management

  • Willing to take on additional office support tasks, as needed.

Administrative Support

  • Arrange travel, complete expense reports for President, Palladian Partners

  • Reconcile and submit credit card receipts

  • Support the President, Palladian Partners on other administrative tasks as assigned

Qualifications

Education / Experience

  • A minimum of two (2) years office/clerical experience.

  • BS/BA in Business Administration or related field, experience may be substituted for degree

  • Experience with government contracts a plus

  • Microsoft Office Suite: proficiency in Word, Excel, and Power Point required

VIEW JOBS 8/16/2019 12:00:00 AM 2019-11-14T00:00 Position Description Will prepare travel orders and travel vouchers for office staff and invitational travelers in accordance with NOAA travel procedures. Will review travel financial documents for accurate claim information, accounting classification, and authorizations. Will track travel authorization submittals and maintain all travel files for the RC in accordance with NOAA procedures. Will support time and attendance, which includes: collection and maintenance of all time and attendance records; assembly of all T&A reports; support for cost documentation packages; and, development of policies and procedures. Will provide office administrative support which includes: reception and phone coverage; preparation of UPS forms; bulk mailings; formatting and processing of Control Correspondence; and, general guidance and support for administrative operations. Will manage and coordinate the executive calendars and meeting schedules. Will maintain office SharePoint files and assist with electronic filing systems. Will support the Agency Records Officer, Records Liaisons, and RC Records Custodians in their duties for records management, and record disposition and will support the development and processing of clearance packages for documents requiring signature and release by the RC Division Chief (or delegated) and RC products or documents requiring approval by the Office of Habitat Conservation or NMFS leadership. Required Skills 4+ years of specialized administrative experience. Ability to work in a fast-paced environment with changing priorities. Experience with Microsoft Applications (Excel, Word and PowerPoint). Motivated and flexible attitude with a strong ability to multi-task. Excellent communication skills, both oral and written. Demonstrated ability to learn new technical skills. Ability to identify, propose and initiate opportunities to improve office efficiency and staff support, preferred. Prior experience working in a federal government office and familiarity with government office practices and/or software (travel and time & attendance), preferred. Experience working in a biology or conservation related office, preferred. Must be a US Citizen or Permanent Resident and be able to pass a background investigation to obtain a security badge to enter the applicable government facility.
