Role description

The Junior Contract Analyst will regularly collect, review, and analyze contract documents to confirm accuracy of information and prepare reports. This position will routinely monitor group email, post information to the website, and interact with project team and bidder. The Junior Contract Analyst will access and verify information from online financial databases including the San Francisco Online Invoicing System and PeopleSoft. This position will prepare routine reports regarding contracts that are being executed. This analyst will collect and review insurance certificates.

Essential Duties:

  • Inputs and maintains contract related data into tracking databases.

  • Maintains contract status reports and assist with maintaining electronic contract files.

  • Assists with responding to bidder/proposer questions by tracking outstanding questions, coordinating with internal stakeholders to obtain responses and posting responses on website and electronic procurement system.

  • Prepares, generates, and updates contract reports, and databases.

  • Assists the Contract Administration Bureau with solicitation processes, i.e. coordinating and scheduling pre-bid and pre-proposal meetings, oral interviews, and other solicitation meetings.

  • Assists with the review, processing and monitoring of contracts through the approval and certification process.

Assists with maintaining department's office supplies.

How to qualify

Possession of a baccalaureate degree from an accredited college or university.

Substitution:

May substitute up to 2 years of the required education with qualifying full-time, professional-level experience in budget analysis, financial analysis and reporting, legislative/policy analysis, data analysis, or contract/grant administration. One year (2,000 hours) of qualifying experience will be considered equivalent to 30 semester/45 quarter units MQs must reflect the class specification for those classes with set MQs.

One year of full-time employment is equivalent to 2000 hours. (2000 hours of qualifying work experience is based on a 40-hour work week.) Any overtime hours that you work above forty (40) hours per week are not included in the calculation to determine full-time employment.
