Title: Japanese Bilingual Program Administration and Marketing Assistant

Location: Downtown Los Angeles, CA (Onsite: Hybrid may be considered in the future)

Type of Employment: Long-Term Temp

FLSA: Non-Exempt

Working Hours: Mon-Fri 7-10 hours per day (may vary depending on the day)

Overtime: Occasionally (Flexibility for meetings after 5pm to adjust to Japan times if required)

Job Summary:

The Program Assistant is responsible for supporting the firm's marketing support services for Japanese clients to promote their agricultural, forestry, fishery food products to the U.S. market. The role involves the project management for the program that clients participate in. The main duties are performing miscellaneous administrative tasks including project tracking, performance measurement, application and contract management, and document creation and advertising (primarily digital and some in-person) marketing implementation.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT NOT ARE LIMITED TO:

  • Perform administrative tasks related to the program for Japanese agricultural, forestry, fishery food producers and distributors to help their products to get promoted to the U.S. market through digital advertising (website, social media etc.), in-store promotions (restaurants and retails), media and consumer events, and influencer collaborations.

  • Manage application and contract signing procedures for the program.

  • Implement measures, progress tracking and schedule management.

  • Provide correspondence and answers to inquiries and questions via email and phone, and communicate effectively with food producers, manufactures wholesalers, trading companies and other stakeholders in Japan upon receiving their interests in marketing and promotion support of their products to the U.S. market.

  • Attend in-person and online meetings (internal and external), participate in discussions, and prepare meeting minutes.• Provide information regarding services and support contract procedures to initiate services.

  • Conduct proofreading of marketing materials (advertisements, articles, social media posts, etc.) in English and correct typos and errors.

  • Research and analyze information requested and assist in quantitative and qualitative surveys on consumers and markets.

  • Create and manage various internal documents in Microsoft Word, Excel, PowerPoint formats relevant to the assigned tasks.

  • Maintain good relationships with assigned contacts to ensure their satisfaction during the projects.

  • Perform administrative tasks, progress tracking, and schedule management in assigned projects.

  • Assist in the organization and operation of events and on-site initiatives.

  • Assist in the preparation of financial reports and development of marketing plans for the following fiscal year by participating in discussions and creating materials.

  • Provide general assistance and support for the overall operations.

  • Complete required compliance e-learning training and adherence to all compliance requirements.

  • Attend weekly meetings, create minutes to distribute to relevant stakeholders and follow up when necessary.

  • May be required to travel to attend onsite meetings within the Los Angeles metropolitan area with provided transportation by Managers.

  • Other duties requested by Manager.

Qualifications:

  • Minimum of 3 years of work experience in office environment.

  • Basic skills and/or experience in marketing such as digital advertising, in-store promotions at restaurants and retail stores, events for media and general consumers, website and official social media account management, collaborations with influencers, etc.

  • Bilingual Japanese and English skills (reading, writing and speaking).

  • Proficiency in Microsoft Suites (Word, Excel, PowerPoint) and web conferencing systems (Teams and/or Zoom).

  • Strong teamwork and cooperation skills to consult, report and collaborate with and to managers and coworkers.

  • Strong business mindset with a proactive approach to proposing suggestions and driving sales-oriented activities.

  • Willing to learn and acquire necessary skills and knowledge to efficiently complete tasks.

  • Familiarity with the differences in business customs between Japan and the United States.

The base pay range above represents the low and high end of the base compensation range we reasonably expect to pay for this position. Actual base compensation will vary and may be above or below the range based on various factors including, but not limited to, geographic location, actual experience, and job performance.
