We are currently seeking ITOperations Coordinator for our Alexandria, VA location. Moderate Risk Public Trust (MRPT) to be considered. DoD Public Trust Preferred

JOB DESCRIPTION

  • Responsible for the coordination of activities (operations and planning) and ensuring timely flow of information to and from the office.

  • Handle details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment.

  • Will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, and organize and maintain administrative processes is essential to this position.

  • Will be responsible for coordinating and preparing presentations and packets and most is able to work with and bring together cross-functional coordination between programs and departments.

  • The ideal candidate will be dynamic, high-energy, organized, and able to support cross-functional coordination in a fast pace environment and possess excellent judgment.

  • Required to be available during regular business hours, evenings and/or weekends, on occasion/as needed to provide support and assistance.

  • Obtains requirements by verifying, preparing, and forwarding purchase orders; verifies receipt of items; authorizes payment.

KEY RESPONSIBILITIES

  • Verifies purchase requisitions by comparing items requested to master list; clarifying unclear items; recommending alternatives.

  • Forwards available inventory items by verifying stock; scheduling delivery.

  • Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department.

  • Obtains purchased items by forwarding orders to suppliers; monitoring and expediting orders.

  • Verifies receipt of items by comparing items received to items ordered; resolves shipments in error with suppliers.

  • Authorizes payment for purchases by forwarding receiving documentation.

  • Keeps information accessible by sorting and filing documents.

  • Provides purchasing planning and control information by collecting, analyzing, and summarizing data and trends.

  • Updates job knowledge by participating in educational opportunities.

  • Accomplishes purchasing and organization mission by completing related results as needed

  • Requests quotes from multiple vendor sources

Qualifications

REQUIRED EXPERIENCE

  • To manage the order cycle, processing in a timely and accurate manner to include:

  • Order acknowledgement, validation/integrity check of order (internal/external customers) placing on a number of internal systems; ensuring amendments to orders are actioned immediately, communicating details to the appropriate supplier.

  • Monitor order status, communicating any issues to customers/suppliers.

  • Monitor status and co-ordinate deliveries from various sources to delivery site.

  • Liaise with internal suppliers (i.e. HSV/logistics) to ensure requirements satisfied, negotiating best price/deliveries and raising purchase orders as necessary.

  • Issue accurate invoices upon delivery of order.

  • Ensuring items are included on maintenance schedules, renewed and billed as required.

  • Providing contact point/knowledge base for sales team, internal/external customers in all aspects of administration and support as required.

EDUCATION/CERTIFICATION(S) REQUIRED

  • Bachelor's degree or equivalent experience.

  • Minimum 8-10 years or equivalent work-related experience supporting C-level Executives and experience working with Boards of Directors, necessary.

  • Demonstrated ability to handle confidential information appropriately.

  • Highly proficient in the following software programs: (Word, /Excel/PowerPoint, databases).

  • Extensive experience in administrative preparation of board presentations.

  • Excellent written and verbal communication skills.

  • Ability to stay focused, efficient, and effective in managing multiple priorities.

  • Professional demeanor and ability to defuse emotional situations in a calm manner.

  • Strong interpersonal skills and good judgment.

  • Proven ability to work independently to achieve accomplishments.

  • Ability to communicate effectively with all levels of employees and outside contacts

Ensures that IDA buildings and their services meet the needs of an evolving workforce. Plays an integral role in planning for the acquisition of new facilities, whether owned or leased. Within areas of responsibilities, proposes and enforces policies and practices, develops the F&A indirect budget and the IDA facilities capital budget and monitors their execution; and is responsible for hiring, developing and performance management of F&A staff. Scope of this position is primarily HQ and STPI. Has corporate oversight of IDA-owned facilities in California, New Jersey, and Maryland. Recommends and administers the Facilities Management and Administrative Services indirect budget and the facilities capital budget for IDA- HQ and STPI. Responsibilities * Serves as the primary position responsible for Facilities and Building Maintenance at SAC, STPI and HQ. Generally responsible for the management, maintenance, and renovation of office space. Oversees services provided directly as well those contracted for using third parties. Also provides corporate oversight for IDA-C&C building maintenance, the installation of major new equipment and/or facilities modifications. * Serves as IDA's health and safety officer; remains current on OSHA, EPA, and other applicable rules and regulations at the federal, state and local level to ensure IDA compliance. Develops and/or coordinates the IDA health and safety programs. * Coordinating with other units within IDA, formulates or reviews policies and practices for Facilities and Administrative Services; ensures prompt and efficient implementation, recommending use of in-house or contractor resources as appropriate. * Oversees administrative services, including conference support, mail and courier services, janitorial services, shuttle transportation, food services, utility services, construction and modification work, and document reproduction; provides recommendations for improvements or changes as may be required for compliance, cost, or improved service. * Oversees building and grounds maintenance, preventive maintenance schedules, and supply inventory. * Works closely and cooperatively with other functional units within IDA such as Information Technology Services, HR and Finance, to ensure that requirements are met, and strategies are evaluated or implemented as appropriate. * Develops performance metrics; implements and monitors organizational and facilities capital budgets, including reallocation of funds as needed; and works on special projects as needed or as directed by the Director of Finance & Administration. * Responsible for ensuring timely testing & inspection of the HQ building's structure to determine the need for repairs/renovation. * Plans, coordinates and oversees all building repairs/renovations and installations, repairs and/or refurbishments of building equipment (telecommunications, HVAC, utilities, etc.). * Reviews utilities consumption and strives to minimize costs and increase sustainability. * Ensure compliance with all safety and security protocols. * Has management oversight responsibilities for all facilities staff, both IDA employees and subcontracted staff. * Oversees the on-site cafeteria services function at the HQ facility. Qualifications * BS/BA in engineering, business, or other relevant fields of study or equivalent combination of education and experience. * Minimum 7 years of increasingly responsible work experience managing facilities and building development and maintenance. * Demonstrated leadership skills * Excellent project management skills * Demonstrated ability to effectively manage a facilities organization budget, including facilities capital forecasting and management * Experience in contract management strongly desired; ability to review relevant legal and contractual documents in areas of responsibility; interacts, as needed, with counsel. * Ability to collect, analyze and evaluate a variety of facts, opinions, data and regulations to compile various reports, analyze alternatives, and make recommendations. * Excellent oral and written communication and interpersonal skills; demonstrated ability to work cooperatively with all levels of staff and management and to exercise discretion and sound judgment. * Experience in automating/re-engineering office procedures.
