PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Perform administrative duties assigned as needed

  • Provide calendar management for each member of the management team

  • Answer office phones

  • Be the central contact for answering the main door to the building by using video camera feed

  • Support the department by filling the role of building manager. This role is a liaison with Facilities department for repairs and maintenance needs within our building

  • Facilitate department communication; this includes sending regular communication to the department by email as well as coordinating when necessary with Internal Communication department. (outages, maintenance windows, announcements)

  • Coordinate with HR for all HR related filings and questions related to IT staff. With oversight from your Director. This includes new hires, exiting employees, and general questions

  • Maintain conference room schedules within the IT department

  • Support vendor meetings hosted by IT Department which could include organizing meals or refreshments

  • Maintaining a presence in the main office to greet visitors and direct them as needed to the various teams within the department

  • Other duties as assigned by supervisor

VIEW JOBS 10/9/2019 12:00:00 AM 2020-01-07T00:00 Job Description SUMMARY Performs a comprehensive role involved in all areas and daily functions of the Profit Center - including, but not limited to, the customer service office and its operations. In addition to the duties listed below, the Office Coordinator must be able to perform the functions defined for the HR/Payroll Representative, Office Supervisor and Office Assistant (see job descriptions). ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. * Supervises all activities of the customer service office * Manages the office staff of at least two full-time Office Assistant * Responsible for training and scheduling of all Office Assistant to ensure the office is properly staffed at all times * Updates and approves Datamatics time for hourly associates. Prints timesheets and obtains associates signatures as needed. * Prepares the petty cash vouchers and petty cash reimbursement report for management approval * Makes or ensures bank deposits are made daily by management * Responsible for ensuring the daily A/R is closed in a timely and accurate manner (PC Level) * Responsible for sending original CitiFinancial Applications to CitiFinancial – Twice a month * Responsible for sending original HCS Applications and paperwork to HCS – Twice a month * Processes returned checks (PC Level) * Addresses customer complaints when necessary and review Customer Care tickets daily * Reviews and approves Requested Allowances – Two to three times per week * Keeps the Office Training Manual updated and communicates all changes to the staff * Maintains office supplies and office machines * Keys employee sales * Responsible for auditing daily store reports at least twice a month: * Reviews the Delivery Inquiry for Exceptions – Once a week * Reviews Requested Cancellations * Reviews the Merchandise Loan Log – Once a week * Reviews BB4D sales (including BR. 88) for current notepads and pay history * Audits all cash funds – Twice a month * Audits Daily Paperwork – CPUs, CRTs, Invoices, Credit Applications, Closing Reports and Deposits – Twice a month * Audits the Merchandise Sample Check Out Book – Twice a month * Audits the Manual Green Tickets – Twice a month * Requests and works the Credit Balance Report from the Audit Department – Once a month * Works the Debit Balance Report when distributed by HCS * Responsible for issuing draft checks as needed * May supervise the delivery function * Assists the General Manager by performing all duties related to HR and payroll: * Process bi-weekly and sales payroll, entering all biweekly and/or sales consultant P.M. incentives in the appropriate pay cycle * Explain and answer questions regarding employee benefits. * File workers compensation claims, public liability, and vehicle accident reports * Verify time or correct time cards for employees * Responsible for all new employee orientations * Responsible for distributing all information from the Home Office regarding payroll, benefits and company policies * Various clerical duties to include answering incoming calls, filing, typing, etc. Job Requirements REQUIREMENTS Education and/or Experience High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience. Other Qualifications * One year experience in office environment preferred * Microsoft Word and Excel experience preferred * Strong math skills * Excellent communication and customer service skills * Ability to multi-task * Highly organized * Must be able to follow oral and written instructions * Must be able to work independently while using discretion Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
