IP Practice Services Systems Manager

Cooley LLP is seeking an IP Practice Services Systems Manager to be located in its Boston, DC, NY or Palo Alto office. Under general guidance, the IP Practice Services Systems Manager is primarily responsible for the maintenance, support, selection and implementation of IP practice systems (currently Inprotech/Inprodoc, IP Document Assembly System, Practice Link Work Portal modules, and Global IP Estimator); defining practice group technology needs and proposing solutions; integrating practice technology into the firm-wide technology ecosystem; enhancing practice group efficiency through technology solutions; improving and expanding client-facing services. Responsibilities include, but are not limited to:

  • Lead in the development of functional requirements and produces specifications and documentation relating to IP-related applications.

  • Manage procurement and/or delivery of products and services within scope and budget from a variety of vendors and contractors.

  • Collaborate with the IS Project Management Office to prioritize and plan project activities, taking factors such as deadlines and resource requirements into account; prepares comprehensive and well-structured budgets, proposals and plans in order to ensure that projects move to timely and successful completion; uses the stipulated systems and processes for creating, tracking and reporting on project plans.

  • Collaborate with IS Department to analyze utilization based on system metrics and user feedback.

  • Recommend approaches for continual improvement in information architecture design and working practices to evolve systems as needed to meet IP user and client needs.

  • Moderate and facilitate meetings comprised of partners, associates, practice group professionals and other staff to gather feedback on areas for technology improvement and offer guidance on current technology offerings.

  • Set and manage realistic expectations for the improvement of technology offerings and introduction of new technologies.

  • Establish and document the policies, practices, and working procedures related to IP software and services to aid users in making efficient and effective use of technology.

  • Research new technology and develops projects based on IP system trends and experience.

  • Coordinate system modifications in collaboration with the IS Project Management Office

  • Ensure the IP docketing software consistently and effectively operates firm wide; guides trouble-shooting and vendor efforts towards issue resolution.

  • Identify and respond to training needs related to IP systems.

  • Recommend appropriate methods of use for practice technology and provides ongoing training.

  • Serve as local office IP Practice Services manager resource overseeing daily operations to ensure group-wide services are effective.

  • Proactively engage with practitioners and staff, developing working relationships to be an effective gateway to all services of the IP Practice Services department.

Basic Qualifications:

  • 5+ years IP Systems Management experience.

  • Bachelor degree required, preferably in Computer Science or related field.

  • In-depth understanding of US and international patent and trademark rules and process.

  • Expertise in Portfolio Management application

  • Supervisory experience in a professional services or law firm environment, with proven ability to manage, coach and motivate.

  • Leadership, initiative, good communication and teamwork skills, detail-oriented, ability to implement and carry out policies and procedures, value and provide excellent customer service, flexibility, and positive attitude; ability to train, mentor, and develop staff.

  • Ability to work extended and/or weekend hours, as required.

  • Available to travel to other firm offices, as required.

  • Strong theoretical understanding of concepts and software development lifecycle.

Preferred Qualifications:

  • Strong relational database knowledge including SQL.

  • Familiarity with CPA docketing systems.

  • Hands on experience and understanding of all layers of n-tier application (web application/business logic, data etc.).

  • Experience as project manager for conversion or implementation of IP docketing system.
