Under the supervision of the Licensing Supervisor, the Investigative Assistant is a multi-function position of a highly responsible nature. The Investigative Assistant is responsible for assisting the background investigators in all aspects of the investigation, other than interviewing applicants/employees and making licensing recommendations. The incumbent will compile evidentiary documents from a variety of resources to assist investigations teams with case resolution. The Investigative Assistant is also responsible for assisting and supporting all departments within the Gaming Commission and Surveillance departments in the overall maintenance and retention of all gaming files and records.

Essential Duties & Responsibilities

  • Provides orientation instruction and assistance to all new and renewing gaming license applicants.

  • Reviews and ensures all collected applications/forms and documents are accurate and complete.

  • Issues online applications to both new and renewing applicants; assigns licensing profiles to Background Investigators.

  • Collects payments for all applicable licensing fees and issues receipts for payment.

  • Processes Livescan fingerprints and reports results to Licensing department. Requests name search verifications for invalid fingerprint submissions when required.

  • Receives and manages licensing files/documentation according to status of licensing process. Completes data entry of current information for all gaming license files.

  • Supports all Gaming Commission and Surveillance departments with record management through scanning of documents.

  • Conducts physical audits against licensing databases to ensure data entry accuracy as well as to ensure all documents are uploaded to online database profile.

  • Runs background reports via various background screening companies as well as RIMS and analyzes them for negative information or red flags that might have a bearing on suitability.

  • Verifies applicant's employment history via Work Number or calls businesses for verification.

  • Uses public access court sites to look up an applicant's criminal or civil history, analyzes that information, and works with background investigators to gather any other information needed concerning dispositions.

  • Uploads investigative documents into Database.

  • Reviews background files and verifies all necessary documents are loaded in the Licensing Database.

  • Reviews applicant Gaming applications for completeness.

  • Calls and verifies applicant's personal references.

  • Issues gaming license badges for both new and renewing gaming licensees per the approval and direction of the Licensing department.

  • Performs other duties as needed to support the efficient operation of the department.

Education/Experience/Qualifications

  • High school diploma or GED required; certification from a vocational, technical or business school preferred.

  • Minimum three (3) years of administrative experience in a professional environment, with specific experience in data entry, filing, record management and front desk reception.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educations requirements indicated above.

  • Must demonstrate intermediate level proficiency in Microsoft Office software (e.g., Word, Excel, Access).

  • Ability to navigate multiple computer systems and utilize search tools to find information.

  • Must possess strong analytical skills with high attention to detail and accuracy.

  • Candidate should have the ability to manage multiple small to medium sized projects simultaneously.

  • Must display exemplary front desk receptionist skills (e.g., answer phone, distribute mail, etc.).

  • Must be comfortable with speaking and providing instructions in both individual and group settings.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.

  • A qualified candidate/employee must have a valid driver's license with an acceptable driving record as determined by the company's insurance carrier.

  • Must be able to obtain/maintain Notary Public license immediately following a successful 90-day introductory review period.
