Your Specific Responsibilities:

This is a highly technical administrative/clerical position supporting the Dental Department and the School-Based Sealant Program. This position will work the front desk for the fixed dental clinic during the time school is off or as assigned by supervisor and provide administrative duties for the school-based sealant program.

The employee will be responsible for distributing and collecting School-Based Sealant consent forms. Review forms to ensure parent/guardian signature is present allowing the consent to provide services for each child to participate in the program.

The employee will register clients into HMS and Eaglesoft along with verifying insurance eligibility through FLMMIS/Change Healthcare. The employee will organize and prepare charts according to school/teacher rosters ensuring charts have required paperwork. Pull services 1-3 days prior to class schedule using insurance portals.

Interact effectively daily with school aged children, serve as a runner, taking children to and from classrooms to the dental sealant room. Schedule classes according to current school calendar. Represent the Florida Department of Health in Flagler County in a positive and informative manner. Employee may be asked to assist Dental Hygienist chairside.

Responsible to perform the duties including but not limited to; billing, scheduling appointments, and registering clients by means of HMS/Eagelsoft. Greets and receives the clients, interviewing to determine eligibility status, answering the phones, making charts, filing charts & maintaining a filing and recall system.

Work up patient records 1-2 days in advance to prepare for upcoming appointments, prepare all required school-based sealant paperwork, calls to remind patients of appointments 1-2 days in advance. Check Medicaid eligibility status in FLMMIS/Change HealthCare. Assist in the completion of telephone and mail correspondence.

Enters fiscal data within the prescribed timeframes set by state and local policies and procedures. Maintains proficiency with procedures and diagnosis codes, coordinating with providers to correct errors. Scans in original documents in the HMS/Eagle soft for EOHR.

Ensures that accurate, up-to-date data for demographic, insurance and financial information is entered into HMS/Eagle Soft. Inputs EARS within required time frame. Produces superbills to the Fiscal Office daily.

Submits time sheets, EARS, and prepares own travel vouchers. Complies with all Department of Health and Dental security and confidentiality rules and requirements. Maintains proficiency with software applications/programs and other office equipment commonly used by the department (i.e., HMS, FMMIS, Outlook, Word, Excel, copier, shredder, fax, label maker, printer, etc.). May be required to order supplies using the agency purchasing system. Serves as Information Custodian for the dental clinic and school-based sealant program for assigned information sets, maintaining confidentiality for the information in accordance with state and federal statutes, rules, regulations and DOH Security Policies, Protocols and Procedures.

Provides other support as requested or assigned by the dental manager including guidance and assistance to all staff and the dental clients to promote the department's goals and objectives. In the event of a disaster, report for duty during and/or after the disaster, as directed. Other duties as assigned by supervisor.

Required Knowledge, Skills, and Abilities:

Knowledge of computer software (Microsoft Word, Excel, Outlook).

Strong customer service skills.

Ability to work with the public.

Skilled at data entry. Detail-oriented.

Qualifications:

Minimum -

  • A valid Florida driver's license and reliable transportation is required.

  • Must be able to lift 50 lbs.

  • Must be comfortable interacting with children.

Preferred -

  • Bilingual in Spanish is preferred.
  • A minimum of one (1) year clerical or data entry work experience preferred.
