Job Details
General Summary
Under general direction, supports all efforts and administrative duties associated with the Internal Audit and Compliance functions.
Duties & Responsibilities:
Under direct supervision, provides overall administrative and staff support for the Internal Audit and Compliance departments. Schedules meetings, maintains calendars, manages travel reservations and expenses, prepares documents, distributes reports, etc.
Under direct supervision, assists in the administration of certain compliance and certification programs for the Company. Tasks may include:
Compiling quarterly certification summaries
Reviewing policy disclosures and following up on potential conflicts of interest
Reviewing whistleblower hotline submissions, emails, and phone calls
Monitoring exception reports
Performing due diligence procedures
Alerting the VP of any potential violations or suspicious activity
Serve as the administrative liaison with others within and outside the company regarding administrative topics related to purchasing, billing, personnel, facilities, and operations
Monitors monthly expenses and tracking of departmental budgets. Processes invoices, including billing for third party auditors
Qualifications
Knowledge, Skills, & Abilities:
Strong customer service skills
Intermediate spreadsheet, word processing and presentation application skills
Ability to communicate effectively with various departments and at various levels throughout the company (both written and oral communication)
Detail-oriented with strong organizational skills to balance priorities and meet deadlines with minimal supervision
Ability to handle confidential matters appropriately
Highly motivated and dependable with the flexibility to work on multiple tasks simultaneously in a fast-paced environment
Work Experience &/or Education:
High school diploma required. Bachelor's degree preferred. At least 1-2 years administrative experience required. Past experience with compliance and/or internal audit functions desirable.
