Integrated Disability Coordinatoris responsible for the effective management and tracking of all occupational injuries and Workers' Compensation related issues and leaves of absence, in accordance with federal and state regulations, and medical center policies and procedures. This includes individual case management for affected employees including the establishment of ongoing communications with employees, managers, appropriate health care providers and agencies to ensure a thorough understanding and documentation of individual circumstance, and the development of appropriate plans for absence resolutions. Additional responsibilities include oversight of non-occupational leaves to enable the identification of trends and variances, and their impact within both arenas.
Monitors, tracks, and maintains all records for work-related injuries and absences and prepares periodic reports on safety, work related absences and modified duty data;
Gathers information in a timely manner on current employees that have sustained work-related injury/illness and identifies potential red flag issues and alerts management in a timely manner;
Participates in identifying the cause of the injury by obtaining formal statements and conducting a preliminary investigation, including the initial intake interview, and participates in root cause analysis with the Integrated Disability leadership team to develop a strategic plan to prevent future incidents, when indicated;
Reviews employee accident report for completeness, mechanism of injury and correlation of alleged injury, and analyzes for applicability of hospital policies and procedures and related federal and state laws and regulations;
Processes all employee accident reports and performs follow-up activities in a timely manner;
Ensures strict HIPAA compliance for all protected health information on all employees;
Assists in compiling all information relative to a Workers' Compensation case for hearing and trial preparation for weekly discussions with the Workers' Compensation attorney assigned to the case;
Maintains status update report on all Workers' Compensation open cases, which is discussed weekly with the third party administrator which solidifies the strategy on cost containment and timely return to work;
Participates in monthly claims review and compiles all pertinent information for open forum discussion with third party administrator, Integrated Disability leadership, and Workers' Compensation Trial Attorney;
Assists in updating the biweekly leave report which is utilized as a tool for identifying absence trends and patterns throughout the organization;
Acts a liaison with injured workers, Occupational Health, departmental staff, medical providers, third party administrator, Labor Relations, and Human Resources when indicated;
Communicates with employees on various aspects of claims process both by telephone and written correspondence and with appropriate referral to third party administrator's assigned claims adjuster;
Advises and assists injured employees in applying for, maintaining and returning from work-related injury or illness leaves;
Works collaboratively with employee, manager and health care provider to ensure a timely return to work target date and, when indicated, a transitional modified duty work assignment;
Facilitates return to work/light duty programs in accordance with Workers' Compensation policies;
Conducts and documents discussions with injured employees to ensure accommodation compliance;
Reviews leave of absence reports for expired leaves and sends communication regarding leave status and expected return to work;
Maintains employee files with data from various sources relating to time off, medical office visits, modified duty, Workers' Compensation Board directives and legal documents related to the claim, out of work rosters and Workers' Compensation records;
Prepares various reports including OSHA 900 log for monitoring essential metrics required by OSHA, safety reports, sick injury fund and other reports as requested, collecting, analyzing and summarizing information as required;
Processes claims in accordance with program practices to ensure consistency and compliance with federal and state regulations;
Ensures timely processing and required documentation for employee transactions such as payroll, civil service leave reporting and rules regarding occupational absence and terminations;
Recommends and participates in quality improvement activities for the department and collaborates with other departments for quality improvement initiatives;
Manages related databases and compiles data to be readily available for Workers' Compensation Board matters and to maintain regulatory compliance and avoid the severe penalties associated with failure to comply with Workers' Compensation Board regulations;
Trains staff in Workers' Compensation processes and procedures in order to ensure cross training in specialty;
Attends monthly safety committee meetings;
Provides quality customer service and proactively identifies and resolves customer issues;
Ensures all protocols, policies and procedures are in compliance with the medical center's policies and procedures, collective bargaining agreements, Workers' Compensation Board, accreditation standards, New York State Department of Health, federal and state laws and all other applicable regulatory bodies.
Thorough knowledge of federal, state and Westchester Medical Center laws, regulations, rules, policies and procedures regarding workplace absence and disability designations, covering both occupational injuries and all other types of work absences; thorough knowledge of ADA regulations and compliance requirements; knowledge of regulations and policies governing confidentiality and the release of information; ability to express oneself clearly and concisely both orally and in writing; ability to maintain effective working relationships with employees, managers, health care providers and outside agencies; ability to read, write, speak, understand, and communicate in English sufficiently to perform the essential duties of the position; ability to use computer applications such as spreadsheets, word processing, e-mail and database software; tact; good judgment; physical condition commensurate with the demands of the position.
