POSITION: Intake Supervisor (Full Time)

CLOSING DATE: Position Immediately Available and Closed When Filled

LOCATION: Hybrid/Remote - Farmers Branch, Texas

OVERVIEW: Legal Aid of NorthWest Texas (LANWT) is seeking a professional, experienced and articulate individual with excellent communication and interpersonal skills for an Intake Supervisor position in Farmers Branch, Texas.

DESCRIPTION: LANWT is a non-profit public interest law firm that provides high-quality free civil legal services to low-income persons in 114 counties in North and West Texas.

DUTIES AND RESPONSIBILITIES: The Intake Supervisor provides support for the entire Farmers Branch office through intake eligibility screening of LANWT applicants and effective communication with both staff and clients. The Intake Supervisor should have passion to work at a non-profit organization that provides a wide variety of broad-based legal services to low-income clients. Other responsibilities include:

  • Greet visitors, determine their needs, and direct them to appropriate offices or personnel.

  • Provide full range of detailed information related to legal services provided by all LANWT offices in an efficient, detailed, and courteous manner.

  • Conduct in-person and telephone intake; conduct initial client screening and eligibility determination, including distinguishing emergency legal matters from non-emergency legal matters, and referring clients who are ineligible for LANWT service to other resources or providers.

  • Provide training and supervision for employees responsible for intake in the office and work with the Managing Attorney on matters related to intake, scheduling and employee performance.

  • Create paper and electronic client files in the electronic case management system, maintain accurate electronic records for all client files, including, but not limited to, entering case notes, correspondence, scanning documents, filing and calendaring events.

  • Maintain a phone log, visitor log, and intake schedule as required.

  • Investigate and develop cases and projects assigned, including conducting necessary interviews.

  • Review and assign new client applications for appropriate assistance.

  • Translate for clients who speak a different language than their advocate (if applicable).

  • Conduct employee performance evaluations and handle corrective action or disciplinary issues with the assistance of the Managing Attorney.

  • Handle client complaints, processes administrative items and issues related to timekeeping, travel, leave, check requests, training requests, payroll, etc.

  • Participating in in-house training programs and staff meetings and activities.

  • Participate in management meetings and projects.

  • Maintain a high degree of confidentiality and professionalism regarding client matters.

  • Adhere to program policies and procedures, including internal policies, as may be established.

  • Maintain professionalism toward clients, visitors and other employees.

  • Other duties, which may from time-to-time be assigned by the Managing Attorney, Deputy Director or Chief Executive Officer.

QUALIFICATIONS:

  • High School Diploma, GED or equivalent is required.

  • Associate's Degree and paralegal certification is preferred.

  • Fluent in Spanish - both verbal and written is preferred.

  • 2+ years working in law office preferred.

  • Candidate should have a solid understanding of the ethical rules related to conflicts of interests in the law firm setting.

  • Ability to communicate in a professional and courteous manner with a diverse population, including office personnel, applicants/clients, vendors, and other professional contacts.

  • Candidate must be detail-oriented, efficient, organized and self-motivated.

  • Ability to establish priorities and meet deadlines.

  • Excellent communication skills, both verbal and written.

  • Excellent computer skills with use of Microsoft products preferred.

  • Ability to work independently and exercise good judgment and discretion in the performance of all duties.

  • Excellent attendance record.

  • Ability to engage in occasional work-related travel.
