Summary

Under the direction of Assigned Management, the Intake Specialist requests, compiles, and organizes data, executes and reviews successful completion of routine reports, updates and maintains shared access files, such as Intranet resources and databases. The Intake Specialist will also work on project tasks and team efforts as indicated by Assigned Management.

Essential Responsibilities/Accountabilities

All Levels:

  • Organizes, distributes and manages products from project efforts: files, general and customized reports, and electronic records.

  • Researches, collects and processes data within the scope of skills and experience.

  • Assists and performs tasks associated with project and departmental management, maintaining time lines, taking and distributing minutes, and scheduling meetings.

  • Assembles documents and reports using information from identified sources.

  • Supports corporate quality improvement program through participation on quality teams and any other supportive activity.

  • Continuously works to identify and remove barriers to increased productivity, quality, cost effectiveness, and timeliness of operations and customer satisfaction.

  • Responsible for maintaining confidential information to the highest degree.

  • Consistently demonstrates high standards of integrity by supporting the Lifetime Healthcare Companies' mission and values and adhering to the Corporate Code of Conduct, and Leading to the Lifetime Way values and beliefs.

  • Maintains high regard for member privacy in accordance with the corporate privacy policies and procedures.

  • Regular and reliable attendance is expected and required.

  • Performs other functions as assigned by management.

Level II Performs similar functions as Level I, plus:

  • Assesses and determines the correct course of action for incoming cases.

  • Effectively researches issues, gathers necessary corporate policies, medical records, contracts and/or reference materials necessary to make a case decision.

  • Provides written and/or oral responses to cases/inquiries in appropriate business formats.

  • Provides coverage/backup for both scheduled and unscheduled absences of peers and level 1 Intake staff.

Minimum Qualifications

NOTE:

We include multiple levels of classification differentiated by demonstrated knowledge, skills, and the ability to manage increasingly independent and/or complex assignments, broader responsibility, additional decision making, and in some cases, becoming a resource to others. In addition to using this differentiated approach to place new hires, it also provides guideposts for employee development and promotional opportunities.

All Levels:

  • High School Diploma or GED.

  • Experience with using a desktop computer in a professional environment, preferably with Microsoft Office Products. Must master use of word processing, databases, spreadsheets, and e-mail software in the course of their work and experience with the delivery of healthcare, especially within the Health Plan.

  • Experience with Lotus Notes or another relational database is beneficial.

  • Strong analytical and problem-solving skills.

  • Human Relations: Important.

  • Strong communication skills and be able to work well with professional contacts throughout the Health Plan.

  • Demonstrate organizational skills to deal with multiple projects and priorities.

  • Maintain a proactive approach to work and display creativity and flexibility in helping Health Plan customers.

  • Ongoing commitment to continuous improvement of his/her own skill and team functioning.

  • Self-motivated and be able to work independently, as well as on intra- and inter-departmental teams where needed.

Level II: in addition to Level I qualifications:

  • A minimum of three years of experience in customer operations or medical management.

  • Consistently able to follow specified guidelines regarding decision making with minimal guidance from the management/training teams.

  • Experience with Lotus Notes or another relational database is beneficial.

  • Knowledge of claims processing systems, contracts, and riders preferred.

  • Must have the ability to mentor other Intake Specialists

Physical Requirements:

Ability to sit for extensive periods of time reviewing information on a computer screen and ability to travel across regions as required.
