Vice President FSLA Status: Exempt JOB SUMMARY The Insurance Operations Administrator is responsible for supporting the efficient operation of the insurance department for a real estate lending focused product. This role involves managing daily administrative tasks, processing insurance applications and claims, maintaining accurate records, and ensuring compliance with industry regulations.
The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work collaboratively within a team environment. SUMMARY OF ESSENTIAL JOB FUNCTIONS Administrative Support: • Assist with the day-to-day administrative operations of the insurance department • Answer incoming calls and respond to inquiries from clients, brokers, lenders, and other stakeholders • Prepare and distribute reports, memos, and correspondence as needed Policy and Claims Management: • Process insurance applications, endorsements, and renewals in a timely and accurate manner • Review claims submissions for completeness and accuracy; coordinate with underwriters and claims adjusters as necessary • Maintain and update policy files and claims records in compliance with company procedures and regulations Data Management: • Input and maintain data in insurance management systems and databases • Generate and analyze reports to track performance metrics, billing, claim statuses, and policy renewals • Ensure all records are organized and accessible for audits and compliance reviews Regulatory Compliance: • Stay updated on relevant insurance regulations and industry standards • Assist in ensuring compliance with state and federal laws, as well as company policies and procedures • Support the preparation of documentation for regulatory audits and inspections Client and Stakeholder Interaction: • Serve as a point of contact for clients, brokers, and lenders regarding policy inquiries, claims status, and account changes • Provide excellent customer service by addressing concerns and resolving issues promptly • Collaborate with sales and underwriting teams to facilitate a seamless client experience • Maintain vendor relationships Process Improvement: • Identify areas for process improvement and contribute to initiatives aimed at enhancing operational efficiency • Participate in training sessions and workshops to stay current with best practices and industry trends • Assist in developing and implementing new procedures and policies within the department MINIMUM REQUIREMENTS • Required: Bachelor's degree in Business, Finance, or related field preferred; high school diploma required • Required:
Minimum of 2-3 years of experience in insurance operations, administration, or a related field • Licensing: Insurance licensing may be required depending on state regulations. Commercial and E&S Market experience ABILITIES REQUIRED • Ability to meet highest attendance requirements • Ability to handle multiple tasks concurrently • Ability to use personal computer, calculator, etc. • Could involve some lifting up to 20 pounds • Ability to sit for extended periods of time without much movement • Ability to work in time-sensitive environment with non-flexible deadlines • All candidates must have the ability to speak, read and write English • Excellent Excel skills and system database proficiency • Possess the following competencies: adaptability/flexibility, communications, decision making/judgment, interpersonal skills, personal organization, problem solving/analysis • Ability to work under pressure and make informed decisions • Must be able to work a minimum of 40 hours per week Disclaimer The above statements are intended to describe the general nature and level of work being performed by people assigned to this classification.
