Due to continued growth, we are seeking a highly motivated and customer focused individual to fill an open role in our Oak Creek, WI location. As a Fire Protection Inspection Support Specialist, you will support the day-to-day activities that help us accomplish our goal of servicing customers with inspection, testing, repairs and modifications of the fire sprinkler, fire alarm and fire extinguisher systems.

Responsibilities:

  • Inspection Contract renewals

  • Assist with scheduling inspections.

  • Managing inspection forms and uploading to databases

  • Take detailed customer and/or technician requests and transfer information to correct team members.

  • Monitor group email boxes to ensure service requests and customer inquiries are answered.

  • Support inspection team as necessary by submitting purchase order requests, issuing subcontracts, and/or ordering material.

  • Validate all necessary inspection reports or customer specific invoicing requirements are met, to include initial requests for Purchase Order information for service call work.

  • Answer phones, take messages, handle questions, and dispatch monthly service orders to inspection technicians.

  • Mail or upload documents and invoices to customer portals.

  • Daily telephone and email follow-through with customers

  • Be a part of our inspection TEAM that is willing to help anyone who may be in need of assistance.

  • Foster and build relationships with our team and customers.

  • Learn our invoicing process for assistance with backlog if required.

Education and/or Experience

  • High School Diploma/GED with associate degree preferred.

  • Previous related experience or equivalent combination of education and experience is a plus.

Specific Requirements:

  • Constantly operates a computer and other office productivity machinery (copier/printer, etc.)

  • Must be able to remain in a stationary position 50% or more of the time.

  • Open cube office work environment, noise level - quiet to moderate

Qualifications/Skills:

  • Good oral, written, telephone and customer service skills.

  • Good time management, organizational and interpersonal skills

  • Ability to assist both internal and external customers.

  • Ability to define problems, collect data, establish facts and draw valid conclusion.

  • Ability to read, analyze, and interpret general business procedures and regulations.

  • Moderate to advanced computer skills

  • Experience in invoicing beneficial

  • General knowledge of office practices/procedures and office equipment
