The Inside Sales Representative's primary job objective is to work with Program Managers, Account Managers, Engineering, Quality, Manufacturing, and assigned (external) customers to: coordinate, manage, mediate, and negotiate any item or activity such as price, delivery, quality, and responsiveness. In order to maximize customer satisfaction this job requires timely and accurate responses to: requests for quotes, material planning, order entry, engineering holds, order changes, schedule sharing, order status, requests for RMA's, and resolution of shipping and accounting issues. This position requires continuous improvement in cycle time for customer communications in order to maintain the highest level of customer satisfaction.
As the focal point for the customer, they will interface with the appropriate internal departments, including customer service, Pre-Production, Production Control, quoting, and accounting, in order to communicate all customer requirements and respond back to the customer in a timely manner. The following list details the duties of the Inside Sales II position in their role for the Chippewa Falls facility.
Processing of requests for quote:
Obtain appropriate Customer Prints and Specifications from Preproduction Engineering upon data receipt from customers.
Work with quote analyst to prepare quotes and respond back to the customer in the targeted lead time with completed quote.
Upon receipt of orders check for raw material availability and advance order if necessary.
For new orders set up JDE Customer address, Finished Goods Item information, and AS400 Engineering Part Record.
Enter Sales Order in JDE and work with production control to meet requested lead times/ship dates.
Check yields and set up appropriate production lots.
Transmit order acknowledgment to customer.
Vendor managed inventory and schedule sharing - Direct ship and consignment:
Work with customer weekly or monthly forecasts to schedule production quantities to meet the customer min/max inventory requirements. Complete all order entry and/or change orders to maintain scheduled requirements.
Work with consignment customers to assure inventory is pulled and invoiced in contracted time frame.
Monitor "in transit" shipments for timely receipt to the consignment hubs.
Maintain weekly cub forecast information.
Processing of customer change requests:
Enter changes as requested in JDE for expedites, pushouts, cancels, and customer holds.
Work with Production Control to meet Customer demands and forward acknowledgement to Customer.
For cancellations, enter data into cancellation Log and obtain approvals.
Transmit charges to customer and monitor for invoicing and payment.
For data revision changes this position will enter CCR (Customer Change Request) and forward to Preproduction Engineering for implementation.
Set up new part record as required, and modify Sales Order as appropriate.
Monitor assigned customer order base for due dates and compare to status and progress of Production lots. This position will work with Production Control to obtain expedite status as appropriate
Communicate in timely manner to keep customer informed. Work expedited ship methods as needed to meet committed Dock dates.
Processing of returns and loaded board assemblies:
Receive requests for returns and work with quality department for appropriate approvals.
Assign RMA number via AS400 system and setup JDE Return Order. Transmit RMA # to Customer.
If loaded Board Assembly this position will work with Quality Engineering to monitor failure analysis results and set up credit order for accounting to issue credit if appropriate.
Accounts receivable and shipping issues:
Work with accounting and buyers for assigned customer monthly statements to resolve overdue payments when there are issues to resolve regarding unit price, quantity, EDI problems etc.
Generate credit and debit Memos and obtain appropriate approvals.
Work with shipping department to resolve any ship method, quantity, or damaged goods issues.
Actively involved with the internal teams within the department to reduce cycle times and order entry errors to promote continuous improvement.
Works with Account and Program Managers to compile various activity reports designed to generate sales forecasting data and sales strategies.
Participates with account and program management in on-site customer review meetings. Will travel to customer site on occasion.
Maintains a working knowledge of the Chippewa Falls manufacturing system in order to communicate effectively with the customers regarding order status.
Printed circuit board manufacturing knowledge is preferred.
Working knowledge of all aspects of Inside sales functions is preferred.
Must be knowledgeable in spreadsheet and word processing software, as well as the knowledge to use the Internet.
Decision making skills with respect to matching strategies and capabilities with customer demands well as in interpretation of a variety of instructions furnished in written, oral, diagram (print reading) or schedule form.
Excellent verbal and written communication skills is a must.
Must be able to quickly react in order to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to manage in conflict situations with internal and external customers in order to maintain the highest level of customer satisfaction
Education and Experience:
Bachelor Degree or a minimum of three (3) years equivalent experience within Manufacturing and/or Sales.
Preferred one (1) to three (3) years of experience within the Printed Circuit Industry
Must comply with TTM Export Control Policies and Procedures and all applicable laws including ITAR, EAR and OFAC including but not limited to: a) being able to identify ITAR product on the manufacturing floor and understand that access to these products and related technical data is restricted to only US Citizens and US Permanent Residents; b) recognition of Foreign Person visitors by badge differentiation; c) understand and follow authorization procedures for bringing foreign visitors into facilities (VAL); d) understand the Export and ITAR requirements for shipments leaving the US; e) manage vendor approvals for ITAR manufacturing and services.
