GENERAL DESCRIPTION OF CLASS

The purpose of the class is to perform routine clerical duties in support of efficient and effective Family Court / Clerk of Court operations; to maintain accurate and up-to-date case files and records; to provide professional and courteous customer service, and to perform related work as required. This class works according to some procedures but decides how or when to do things; work is reviewed regularly by supervisor.

ESSENTIAL TASKS

The tasks listed below are those that represent the majority of the time spent working in this class. Management may assign additional tasks related to the type of work of the class as necessary.

Prepares, processes and files priority and non-priority documents associated with the Office of the Clerk of Court's Family Court Division, ensuring compliance with all applicable policies, procedures, laws, regulations, and standards of accuracy and professional customer service.

Accepts pleadings, rules to show cause, motions and other legal documents for filing; checks documents for proper format and completeness.

Assesses, collects, records and deposits filing fees and copy fees; processes fee waivers.

Opens and closes case files on computerized case management system.

Prepares and organizes files; shreds confidential or obsolete documents as necessary; releases records to authorized individuals in accordance with established guidelines; conducts all records management activities in compliance with records retention guidelines.

Assists the public in retrieving recorded information; researches department files, court/legal records, database records, electronic data sources, Internet sites and other sources for requested information as needed.

Provides information and assistance to the public regarding court policies and procedures; responds to inquiries, requests, concerns and complaints in areas of responsibility.

Answers the telephone; provides accurate information and assistance to callers and/or forwards calls to appropriate personnel; takes messages as necessary; greets and assists office visitors.

Drafts, types, revises, processes, copies, files, transmits and/or distributes a variety of forms, records, reports, legal documents, notices and correspondence.

Performs general clerical duties as required, including but not limited to copying and filing documents, entering and retrieving computer data, sending and receiving faxes, processing mail, assembling materials, etc.

Performs duties of co-workers as required.

Attends training, meetings, seminars and/or workshops as required to enhance job knowledge and skills.

INVOLVEMENT WITH DATA, PEOPLE, AND THINGS

DATA INVOLVEMENT:

Requires summarizing, tabulating or formatting data or information in accordance with a prescribed schema or plan to facilitate the identification and extraction of useful information.

PEOPLE INVOLVEMENT:

Requires giving information, guidance or assistance to people to directly facilitate task accomplishment; may give directions or assignments to helpers or assistants.

INVOLVEMENT WITH THINGS:

Requires handling or using machines, tools or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones or similar equipment; may service office machines, including adding paper and changing toner. Must be capable of accurately using computers and software programs designed for the court system.

COGNITIVE REQUIREMENTS

REASONING REQUIREMENTS:

Requires performing semi-routine work following procedures with occasional problems. Must deal effectively with unpleasant clients and situations on a daily basis.

MATHEMATICAL REQUIREMENTS:

Requires using addition and subtraction, multiplication and division, and/or calculating ratios, rates and percentages.

LANGUAGE REQUIREMENTS:

Requires reading technical instructions, procedures, manuals and charts to solve practical problems; composing routine reports and specialized reports, forms and business letters with proper format; speaking compound sentences using normal grammar and word form.

MENTAL REQUIREMENTS:

Requires doing clerical, manual or technical tasks prescribed by standard practices but which may require computation, the use of several procedures, and the use of independent judgments with obvious choices; requires normal attention for accurate results.

VOCATIONAL/EDUCATIONAL AND EXPERIENCE PREPARATION

VOCATIONAL/EDUCATIONAL PREPARATION:

Requires Associate Degree or equivalent.

SPECIAL CERTIFICATIONS AND LICENSES:

Must possess a valid state driver's license.

Must possess or be able to obtain Notary Public certification.

EXPERIENCE REQUIREMENTS:

Requires over six months and up to and including one year of customer service experience, office/clerical, legal field or court system.

PHYSICAL AND DEXTERITY REQUIREMENTS:

Requires sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations.

ENVIRONMENTAL HAZARDS:

The job risks exposure to no known environmental hazards.

SENSORY REQUIREMENTS:

The job requires normal visual acuity and field of vision, hearing and speaking ability, and color perception.

Responsible for guiding others, requiring a few decisions affecting a few co-workers; works in a stable environment with clear and uncomplicated written/oral instructions but with some variations from the routine.

Compensation Range: $20.66 - $33.03
