The In-Person Events Fellow will be mentored by colleagues on the Events & Programming team as they become acquainted with the skills required for success in an event-focused role. This position will serve largely in a support capacity for a wide range of events hosted by College Relations and the Office of the President. As skills are mastered, the person in this role will take on full production of select events including liaising with hosts and vendors, executing the event, managing volunteer staff, etc. This position will require night and weekend work.

Position Responsibilities:

  • Work in partnership with Events & Programming colleagues on events hosted by College Relations and the Office of the President, including but not limited to receptions, scholarship dinners, board meetings, regional events, etc.

  • Offer support as needed for large, college-wide events such as Commencement, Convocation, and the Faculty/Staff end-of-year Celebration.

  • In time, lead coordination of select College Relations and President's Office in-person events, arranging for event needs and working closely with on- and off-campus vendors

  • Responsible for building, managing and tracking all expenses and revenues to fit within the event budget.

  • Manage in-person and virtual event communications in partnership with the Digital Events Fellow

  • Build and manage online event registration forms in the database.

  • Assist as needed with execution of events led by other OEP team members, particularly during busy times such as Orientation, Wildcat Weekend, and Reunion Weekend.

  • Collaborate with the OEP team to develop creative event themes and logistics.

  • With guidance from the director, identify and execute long-term projects of personal interest that serve the OEP and provide valuable professional experience.

Minimum Qualifications

  • Bachelor's Degree from an accredited institution. Applicant will be graduating in the spring or be a recent graduate who has been out of school for no more than two years.

  • Enthusiastic interest in a career in events.

  • Eager to learn and open to receiving and implementing feedback for continued growth.

  • Eager to take on responsibility and able to serve as an independent leader once confident in their skills.

  • Detail focused, results-driven, and accountable with the ability to handle high pressure last-minute, urgent requests. Detail oriented in a fast paced environment.

  • A commitment to a high quality experience for our event attendees.

  • Strong internal and external customer service.

  • Organized, highly motivated, and have the ability to remain calm in stressful situations.

  • Possesses a "can-do" attitude, self-starter and take initiative with new projects.

  • Demonstrates critical thinking skills and solution-orientation approach to challenges.

  • Must be willing to learn Davidson College's database and marketing system (Blackbaud) and Google Suites, EMS booking system. Training on the college's software systems will be provided.

  • Need to lift 20+ pounds, to move boxes and supplies, be able to travel between locations on campus on foot or on golf cart, and willingness to be outside in various weather conditions.

  • Valid driver's license required.
