Summary

Prepare Import and Export Documents for International Shipments according to Company Procedures, Guidelines, Export Administration Regulations (EAR), working knowledge of Bureau of Industry and Security regulations, shipping of dangerous goods/IATA and all international shipping guidelines that may impact an inbound or outbound shipment. Interact with various freight forwarders to coordinate international shipments. Maintain import and export files for accuracy and completeness. Coordinates distribution of international orders through the department. Assists in successfully completing daily activities. Serve as backup for domestic shipping arrangements.

Essential Duties and Responsibilities

  • 50% Prepares Import and Export Documents, i.e. Commercial Invoices, Packing Lists, Automated Export System (AES) entries, dangerous goods knowledge, and bill of ladings according to Company Procedures and EAR. Ensures packages are properly marked. Ensures proper harmonized codes and licenses are linked. Assists with clearance delays.
  • 20% Contacts freight forwarders to schedule pickup, confirm the transit path and arrival, seek quotes, and ensure documentation is completed as required
  • 15% Communicate with Customer Service, Planning, and other internal staff to expedite and coordinate shipments.
  • 5% Maintain import and export files according to EAR, Company Policies, and Guidelines.
  • 5% Participate in classroom and hands-on training to guarantee compliance to Operational Policy and Company Guidelines.
  • 5% Participate in special projects and perform other duties as assigned.

Prerequisites

  • Education: High school diploma or equivalent and some college courses preferred.

  • Experience: Two years experience in international logistics administration. General knowledge of U.S. Government import and export regulations and all supporting documentation.

  • Certifications, Licenses, etc: Prefer IATA Dangerous Goods Current Certification

Specialized Knowledge and Skills

  • Language Skills:
    Ability to read, write and verbally communicate in English at a high school grade level.

  • Mathematical Skills:
    Skilled in math applications at a high school level.

  • Reasoning Skills:
    Detail-oriented with the ability to solve problems. Have the ability to work effectively in a team as well as work alone when required. General knowledge of typing, filing, organizational skills, and Personal Computer hardware/software (Windows).

  • Computer and/or Technical Skills:

Work Environment and Physical Demands

  • General Work Environment: General office environment.

  • Noise: Moderate noise level.

  • Standing/Lifting: 80% setting 20% standing which requires one to lift, move, stack, and pack material up to 40 pounds manually. Heavier products moved by material handling equipment.

  • Visual: Good or corrected good eyesight is required to perform these task.

  • Stress: Some stress may occur on a daily bases but especially during closing periods

  • Travel: No travel is required.

  • Supervisory Responsibility, if any: This position has no supervisory responsibilities
