Coordinate compliance review, approval and record keeping of events managed via Cvent. Work with Marketing Department to request Cvent headers and additional administrative functions. support, and assist with executing client appreciation events and internal meetings that support all lines of business The Corporate Events, Meetings & Hospitality Specialist will be responsible for event metrics, invoicing, budgeting and oversight of Third Party Management. The candidate will possess a practical understanding of how client appreciation events, internal meetings, sponsorships and events support the business at an industry and market level, allowing them to quickly identify opportunities within the company and marketplace. In addition, the incumbent will develop and maintain strong relationships within the targeted group of constituents, including business line support team, front line colleagues as well as key internal partners including Compliance, 3rd Party Management and Marketing Services. Compliance Statement Operates in full compliance with internal policies and procedures as well as applicable regulations and laws, including but not limited to Bank Secrecy Act/Anti-Money Laundering requirements. Responsible to report any procedure or process that doesn’t meet regulatory requirements including fraud, whether suspected or confirmed, to management. This reporting can be done directly to any member of management, including Human Resources or Corporate Security, or can be reported through Associated’s anonymous Ethics Hotline. Executing the management of targeted events, the creation of invitations and event marketing materials including the management, creation, execution and monitoring of the electronic Cvent event planning tool. Coordination and monitoring of budget tracking and post-event budget summaries. • Coordination of communications with front line colleagues as well as internal partners to ensure successful execution by customer facing colleagues. • Supporting role in the development and execution of client appreciation, hospitality sponsorship assets and internal meetings for the supported lines of business across all regions. • Integration into assigned business unit operations, ensuring clear understanding of priorities and issues. • Indirectly responsible for the deepening of relationships with clients and colleagues by coordinating and executing impactful, positive and memorable event and meeting experiences. • Provide access to all Corporate Marketing functions and expertise, including, Creative Services, e-Commerce Marketing, Public Relations and Corporate Communications. Job Accountabilities • Manage Cvent event planning tool including the creation, intake, Corporate Events Cvent mailbox, organization and communication of e-vite system including invitation, guests’ lists and reporting. Download, create, print and collate event name tags and table place cards. • Coordination of performing arts and entertainment sponsorship initiatives and events including management of critical path timelines, strategy development & support, budgeting, , on-site coordination of experiences and events. • Estimate, track and provide a budget summary for all executed experiences. Oversee administrative duties including Cvent management and oversight, the ordering of event supplies, event name tags, shipping content, creating files and budget tracking. • Assist with researching, caterers and selecting menus. Research, recommend and coordinate event logistics working with business partners. i.e. Florists, AV Services, Client Gifts and miscellaneous business partners. . • Coordinate event logistics including registration, attendee tracking via Cvent, food and beverage service, entertainment, presentations, etc. Coordinate event timelines and task lists to ensure deadlines are met. • Complete Marketing Request Forms for marketing collateral for print and Cvent invitations, , signage, and miscellaneous marketing materials. Coordinate guest lists working with key contacts in the lines of business. • Responsible for updating and overseeing Client Events Calendar via Sharepoint. • Assist Corporate Events, Meetings & Hospitality Manager(s) and Event Planner with check requests, expense reports, budget summaries and monthly AMEX corporate credit card reports. Coordinate conference calls, meeting rooms and travel for Corporate Events, Meetings & Hospitality Manager and Event Planner as needed. • Submit all contracts, invitations and key marketing materials to Compliance Department for review and approval. Ensure all contracts are managed through the 3rd Party Management System. Education Requirements • Required - Bachelor's Degree or equivalent combination of education and experience - Marketing, Communications or related field • Preferred - Bachelor's Degree - Marketing, Communications or related field Experience Requirements • Required 2 to 4 Years - Event planning and sports & entertainment marketing experience • Preferred - 2 to 4 Years - Marketing communications experience within the services industry Skills • Advanced o Written Communication, Verbal Communication, Organizational, Microsoft Office, Cvent, Ability to Multi Task and Prioritize, Customer Relations, Sharepoint o Ability to think creatively, strategically and leverage sponsorships and events to support and execute marketing plans. o Effectively track and manage experiential budget. • Intermediate o Analytical, Operate Office Equipment, Mathematical, Ability to work independent of daily supervision • Beginner o Ability to work effectively with others across functions both directly and indirectly.
