Serve as the contact and administrative site supervisor for medical residents and faculty within the Department of Medicine (DOM) Residency Program. Serve as the primary liaison between Bridgeport Hospital (BH) and the Yale University School of Medicine.

Responsibilities

The program coordinator works directly with the program director (PD)/chair in Internal Medicine and provides administrative support for the Associate PD's, chief Residents and Residents. this position includes, but is not limited to, the following:

  • -Maintains PD's calendar, arranging meetings.
  • -Assists the PD in preparing all documents for accreditation of the IM Residency Program.
  • -Attends the Program Evaluation Committee/Clinical competency meetings.
  • -Assists the PD in updating the Policies/Curriculum for the Department of Medicine house staff.

The Program Coordinator is heavily involved with all aspects of the resident recruitment process (Electronic Residency Application Service (ERAS), such as screening applicants, arranging interviews, sending all correspondence to applicants, and scheduling faculty to meet with applicants.

The individual coordinates everyday conferences for residents/faculty in the Department of Medicine including Medicine Grand Rounds for the academic year.

The coordinator works with the Yale Affiliated Program Director and Coordinator to coordinate the yale Conferences/Ward teaching rounds/Electives for house staff for the academic year.

The individual coordinates all activity in Medhub (evaluation system), such as evaluations on residents and faculty, recording of work hours and vacation time, and enters all conferences and all house staff information into Medhub.

The individual coordinates the ACP in-training exam, including proctoring.

The coordinator is responsible for filling out information on house staff for Board Certification and ACGME requirements such as WebAds, national GME courses and FasTrack.

  • Provide notification of rotations/electives to appropriate BH personnel (clinical leadership in medicine and its subspecialties, nursing, graduate medical education (GME), security, parking, etc.) on, at minimum, a monthly basis.

  • Provide necessary supporting documents to assist them at the US borders, if they are coming from outside the US (as many are) for their residency at BH.

  • Mentor and support residents; problem solve/trouble shoot as necessary.

  • Monitor student interactions with other services and other students; resolve conflicts as necessary.

  • Complete forms that are state mandated for licensure application (i.e., L6 form from the Medical Board of California).

  • Upload clinical Letters of Recommendation received from the faculty for students participating in ERAS.

  • Track and report on influenza vaccine status to clinical leadership.

  • With the Residency Director, meet annually (or as necessary) with the representatives of Yale School of Medicine.

  • As necessary, with the Residency Director, meet with accrediting bodies' representatives and complete required documents as needed.

Qualifications

EDUCATION

Associates degree in Secretarial Science or equivalent education.

EXPERIENCE

A minimum of two years related experience.

SPECIAL SKILLS

PC proficient with knowledge of Word and spreadsheet applications, Knowledge of medical terminology.

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel or hear. Thy are frequently required to reach with hands and arms. They are frequently required to reach with hands and arms. They are also required to stand and walk. They must occasionally lift and /or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception. The noise level in the work environment is usually moderate. Incumbents as well as external and internal applicants who become disabled must be able to perform the essential job functions with or without the assistance of reasonable accommodation as determined on a case by case basis.
