IEP Support Specialist - Special Education

SUMMARY:

Duties include all secretarial skills, must be people-oriented because of dealing with special education teachers, Assessment and Speech staff, related service and other staff. Must be willing to be flexible in helping with other duties required of the department. Strong organizational and time management skills are required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Schedule IEP meetings for assigned campuses/staff, send notices, gather teacher input and other documents needed for meetings

  • Conduct regular phone follow up to support assigned staff

  • Process IEPs (check for typographical errors and missing components and maintain database) per departmental timelines

  • Copy, scan, upload and file incoming IEP and dyslexia Paperwork within departmental guidelines

  • Scan, upload and file all records unique to special education or dyslexia, including SHARS documents, clerical error letters, outside provider records, etc. . .

  • Distribute IEP copies to school personnel, parents and agencies as indicated within departmental guidelines

  • Maintain and track eligibility folders for active and inactive students, including transfer paperwork

  • Process incoming and outgoing record and prescription requests (sending and receiving) within state guidelines

  • Assist with eSped management (backup, unlock, run reports, etc) as requested by supervisor

  • Monitor status of above reports and distribute to personnel as indicated

  • Monitor in-home training evaluation requests and distribute copies as indicated

  • Process inactive files annually for digital archival

  • Manage digital archive records

  • Generate weekly/monthly reports per departmental guidelines/requests

  • Unlock IEP/FIE documents as requested

  • General office copying and collating as needed by professional staff

  • Assist other special education support staff as requested by Supervisor

  • Attend professional development

  • Follow TISD policies and guidelines

QUALIFICATIONS

Secretarial knowledge and skills, purchasing skills, some bookkeeping skills, computer skills.

EDUCATION and/or EXPERIENCE

High school graduate or equivalent and 3 years clerical/school experience. College hours preferred.

SPECIAL KNOWLEDGE/SKILLS

Ability to use personal computer and software to develop spreadsheets and databases, and do word processing. Proficient typing, keyboarding, file maintenance, and 10-key skills. Ability to meet established deadlines.

REASONING ABILITIES

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
