IELTS Administrative Assistant

Job Description

The IELTS Administrator Assistant will help to ensure that all steps involving the test are met and will be responsible for a combination of some or all of the following:

  • Assist candidates with registration and other services related to the test such as sending results to higher education institutions

  • Be familiar with the policies and procedures related to IELTS test administration as set out in the Administrator's Manual

  • Maintain strict standards of document security and official procedures

  • Secure handling of candidates' confidential information

  • Planning and coordinating test day (allocate staff needed to ensure the highest standard of customer service, security, providing accurate counts of materials and appropriate space to accommodate candidates and staff, and schedule staff to ensure the timely completion of the duties)

  • Planning and executing staff training to ensure the best quality of customer service and compliance

  • Financial management: record payments, produce & send receipts, produce and maintain staff payment records, etc.

  • Maintain records and compile reports concerning the test in accordance to the policies of the British Council IELTS

  • Maintain and develop positive customer relations: front desk, phone, email, test day registration.

Minimum Qualifications

  • Bachelor's Degree or equivalent

  • 1-2+ years in a business or operational setting

  • Ability to work evenings and weekends

  • Must be authorized to work in Canada

  • Computer Skills (Word, Excel, PowerPoint)

  • Strong English skills (Advanced, IELTS 6.5 or higher)

Preferred Qualifications

  • Prior experience with international students

  • Experience with database systems

VIEW JOBS 8/11/2018 12:00:00 AM 2018-11-09T00:00 The International Monetary Fund (IMF) has a vacancy for a Staff Assistant/Administrative Assistant in the Front Office of the Information Technology Department (ITD). The position is located in the IMF headquarters in Washington, D.C. Only candidates currently residing in the Washington metro area will be considered. Duties and Responsibilities: The selected candidate will be expected to provide a wide range of administrative support to the Deputy CIO; Chief Information Security Officer (and Information Security Group); the Enterprise IT Strategy and Architecture Unit; and the Advisor (and Resource Management Team)—approximately 20 staff, and a varying number of contractuals, vendors, interns, and remote developers. He/she will also act as back-up for the ITD CIO's Assistant. The candidate will be expected to work with minimum supervision and to exercise initiative and sound judgment in order to ensure the smooth functioning of the administrative operations. He/she will work closely with one half-time contractual staff assistant. Duties will also include: * Editing, proofreading, and formatting memos, presentations, charts, and other graphic and illustrative materials in support of senior staff. * Using the document management and records management systems (currently DM5 and eRecords) to assure appropriate record keeping, and assist with the posting of files in SharePoint and Box to facilitate the sharing and retrieval of important documents (e.g., communications from CIO and Deputy CIO, CBIT presentations, strategy documents, budget documents, etc.). * Entering travel in TIMS for ITD Front Office staff, and entering expense reports. Reviewing and act as back-up approver of expense reports for the department. * Organizing logistics, preparing budget requests, and assisting with IT Brown Bag lunches, iOpener, Annual Information Security Awareness Summit, and a wide variety of other ITD events. * Helping to monitor the ITD Review box to ensure that departmental deadlines are met. * Initiating purchase orders for the front office (20–30 per month); resolve most problems related to payments independently. Follow procedures for entry and validation of year-end accruals and renewals. * Advising staff on appropriate administrative procedures and documentation requirements. * Carrying out onboarding and departure activities for Vendors and Staff. * Monthly review of TRACES for ITD Front Office, and resolving any errors that arise. * Routine updating of online organizational charts for the supported groups. * Running variety of reports in Peoplesoft. * On an as-needed basis, he/she would also handle administrative responsibilities delegated by the Office Manager.
