Summary of Job Duties:

The Human Resources Specialist is responsible for supporting the Associate Vice Chancellor with administrative responsibilities. This position will be responsible for preparing HR-related reports and publications, assisting with background checks, Freedom of Information Act requests, leave administration, and other special projects, as assigned. This position will be responsible for managing the HR website, assisting with maintaining the inventory of department assets, and completing purchasing requisitions. In this role, the HR Specialist will have access to highly sensitive information and must always maintain the highest levels of integrity and confidentiality. This position will interact with and assist employees in a professional and friendly manner. This position is governed by state and federal laws and institution policy.

Qualifications:

Required Education and/or Experience:

  • Bachelor's degree from an accredited college or university;
  • At least two years of human resource experience;
  • Demonstrated customer service experience in an office setting.

Other job-related education and/or professional experience may be substituted for all or part of these basic requirements.

Preferred Education and/or Experience:

  • Bachelors' or Masters' degree in Human Resource Management;
  • Experience working in Higher Education;
  • Experience working with WordPress;
  • Experience working with Workday and Banner;

Job Duties and Responsibilities:

Administrative

  • Provide administrative support to the Associate Vice Chancellor;
  • Manage and assist with the maintenance of the department inventory of supplies and equipment, including scheduling of equipment maintenance;
  • Assist with the processing of flexible and hybrid work arrangements requests;
  • Assist employees with general benefit questions;
  • Assist with the completion of background checks;
  • Assist with travel arrangements for department staff;
  • Assist with New Employee Orientation, as needed;
  • Assist with planning department events, such as HR Fair, Benefits Fair, etc.
  • Assist with leave administration, including FMLA, Worker's Compensation, and Leave without Pay.

Immigrations

  • Perform data entry of foreign national employment eligibility statutes into Workday;
  • Maintain files and records shared with UA System General Counsel's Office;
  • Provide notifications to foreign national employees and departments before the expiration of work authorizations.

Technology

  • Assist with the management of the Department of Human Resources website.
  • Assist with maintaining assigned HR listservs, spreadsheets, and databases;
  • Entering and uploading employee information in Workday, as needed.

Customer Service

  • Assist with front desk coverage as needed;
  • Assist UA Little Rock staff and faculty in the completion of HR documents;
  • Act as a member of the HR Solutions Team;
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Knowledge of relevant state and federal laws; ability to interpret and apply applicable state and federal laws;
  • Ability to communicate with a diverse group of employees;
  • Ability to exercise and practice a high degree of discretion and to maintain confidential information;
  • Excellent written, oral, and interpersonal skills are essential;
  • Proven presentation skills to include proficiency with technology and virtual training platforms;
  • Proficiency with Microsoft Office Suite;
  • Ability to manage time and workload effectively, which includes planning, organizing, and prioritizing with attention to details;
  • Ability to work independently;
  • Ability to adjust to change and be flexible;
  • Ability to conduct research and prepare reports;
  • Ability to work simultaneously on multiple projects and demonstrate organizational and prioritization abilities in accomplishing tasks.
