PRIMARY FUNCTION: To perform secretarial and clerical duties in support of the Human Resources operations and staff

PAY GRADE: 231 Day - Grade 8 - Salary Range: $34,485.00 to $56,655.00. Salary placement will be based on Douglas County Board of Education approved salary schedules and years of verified relevant experience.

FLSA STATUS: Non-Exempt

TERMS OF EMPLOYMENT: 231 Days (12 Months)

REPORTS TO: Executive Director of Human Resources

EDUCATION LEVEL: Minimum High School Diploma. Five years related training and experience. School System Human Resources experience preferred.

EXPERIENCE: Minimum two years general business experience in benefits, payroll or related field. Prior school system personnel and benefits experience preferred.

CERTIFICATION/LICENSURE: None

PHYSICAL REQUIREMENTS: Routine physical activities that are required to fulfill job responsibilities. Sedentary Work: Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body; sedentary work involves sitting most of the time; jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

PROFICIENT SKILLS:

  • Interpersonal, written and oral communication, organizational, and computer skills.

  • Knowledge of MUNIS preferred

  • Ability to maintain confidentiality and use discretion when dealing with sensitive personnel information and issues.

  • Ability to manage multiple priorities in a fast-paced environment.

ESSENTIAL DUTIES MAY INCLUDE:

  • Demonstrates prompt and regular attendance.

  • Serves as the backup to the Human Resources receptionist, responding to telephone and walk-in inquiries.

  • Receives and organizes information submitted by principals, including but not limited to, recommendations for employment, certified staff lists, administrative letters of intent, CPI and supplement worksheets.

  • Prepares and packs materials for recruiting trips; provides instructions to recruiters.

  • Prepares Travel Expense Pre-Approval forms and sends to recruiters. Processes completed forms and forwards to the Finance Department.

  • Processes application materials submitted in response to advertised vacancies, organizes materials and sends to appropriate administrator when the posting closes

  • Initiates and processes purchase orders and requisitions in MUNIS and submits backup documents to the Finance Department.

  • Maintains and orders supplies for the Human Resources Department.

  • Monitors HR budget expenditures to report to HR Executive Director.

  • Assists with posting vacancies on the Douglas County School System web site.

  • Assists with the filing of information into personnel records.

  • Process unemployment claims received by the district and file appeals when necessary.

  • Processes Workers' Compensation claims.

  • Maintains regular communication with HR Director, CFO, employees, and supervisors regarding Worker' Compensation claims and procedures.

  • Maintains current Workers' Compensation forms and procedures.

  • Maintains a current data base of Workers' Compensation claims.

  • Assist with the processing of disability claims.

  • Processes requests for Family and Medical Leave with all related forms and correspondence.

  • Performs weekly audit of the Family Medical Leave records to ensure compliance to Federal/State laws and local policies.

  • Assists with changes and data updates to SLDS TKES/ LKES platform

  • FMLA report submitted to payroll monthly.

  • Performs other duties as assigned by appropriate administrators.
