Who are we looking for?

The HR Operations Specialist will be a resourceful and analytical professional looking to build upon your existing knowledge base. In this role you will support the full employee lifecycle to enhance the employee experience. You must be highly detailed and accurate, able to navigate systems, and manipulate data to identify trends in the business. We are looking for someone driven to learn more about HR while also demonstrating what you have already mastered!


  • Responsible for all employee data including new hire setup, benefits enrollment and administration, leaves and terminations

  • Collect and analyze data related to the employee experience, such as hiring, turnover, talent management and career development

  • Develop reports to support compliance and accounting

  • Support the talent acquisition function including scheduling and offer preparation

  • Partner with the HR team to support special projects related to organizational development and talent management

  • Participate in the merit increase and promotion process, tracking completion and updating data

  • First point of contact for employees and for technical issues related to HRIS systems

  • New Hire Orientation

  • Maintain and update standard operating procedures and policies in alignment with state and federal law

What qualifications are needed?

  • BA/BS in Business, Communications, Psychology, Human Resources, Finance, or related field required

  • Must have demonstrated experience in HRIS, benefits and/or payroll software, such as: ADP, Cornerstone or similar system

  • Experience in one or more of the following specialties preferred: Benefits, Leave Administration, compensation, performance management and/or employee relations

  • Demonstrated knowledge of California employment law

  • Prior experience in supporting implementation of HR programs and procedures to improve overall operations and organizational effectiveness is preferred

  • Experience with non-exempt population preferred

  • Advanced Excel skills required

  • Equivalent combination of education and professional experience will be considered

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. HR Systems Administration * Act as Subject Matter Expert (SME) for the company's job posting process and systems. * Responsible for the input, maintenance and integrity of Human Resources (HR) data into Human Resource Information System (HRIS). Also, responsible for HRIS reporting. * Responsible for the input, maintenance and integrity of applicant data in Applicant Tracking System. This includes managing Applicant Tracking projects and reporting, as required. * Department liaison for the corporate Learning Management System. Talent Management and Recruiting * Lead and coordinate various activities associated with talent management and talent acquisition. * Implement external recruiting strategies using Linked-In and other social media outlets. * Monitor and track current openings, including preparing reports on key metrics. * Prepare and send offer letters and recruiting agreements in support of HR activities. * Manage recruiting process for entry level, non-exempt and temporary staff. * Initiate and review candidate background investigations. * Complete I9 verification through E-Verify and appropriately maintain I-9 forms and records. Benefits * Assists with employee benefit programs such as medical, dental, vision, life insurance, disability, various voluntary plans and wellness programs. Manages benefits systems; employee enrollments and changes; digital and physical files. Assists with vendor relationships; related contracts and bills; communication; and open enrollment. * May manage additional benefits programs including but not limited to Tuition Reimbursement; Field Fitness Reimbursement; and Service Awards. * Participates in employee onboarding by conducting benefits orientation. HR Processes Administration * Manage new hire on-boarding process which includes conducting New Employee Orientation including benefits orientation. * Conduct exit interviews, analyze data and make recommendations for corrective action and continuous improvements. * Responsible for completing state and federal reporting and audits. * Assist with Affirmative Action Program preparation as necessary. * Monitor and track the performance review and employee development planning processes. Additional Project Responsibilities * Assist in various training activities including scheduling training classes, preparing training materials and delivering training. * Manage vendor contracts and purchase orders, while tracking invoices for budget compliance. * Filing and maintaining department and employee personnel files; perform paper and system audits as necessary. * Back-up for the preparation and coordination of leave of absence paperwork. SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Excellent collaboration and interpersonal skills. Ability to manage multiple priorities while acting with a sense of urgency a must. Demonstrates good judgment and possesses basic resolution skills. Must possess at least intermediate technology skills; including knowledge of MS Word, Excel, PowerPoint as well as database and spreadsheet applications. Able to work both independently and as a member of a team with excellent customer service skills. Strong sense of integrity and ability to maintain confidential information critical. LANGUAGE SKILLS Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instruction, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. MATHEMATICAL SKILLS Intermediate skills: Ability to calculate figures and amounts such as discount, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Requires excellent sense of judgment, diplomacy and tact.
