Patient Access Coordinator

SUMMARY: The Patient Access Coordinator is responsible for the registration and scheduling of all Outpatient Clinic patients. The Patient Access Coordinator is also responsible for the registration of patients for Inpatient, Acute Care Clinic, Observation, Rehabilitation, and Behavioral Health services. The Patient Access Coordinator consistently provides excellent customer service and maximizes revenue for the hospital by ensuring that insurance is appropriate and proper authorization is secured.



  • Assists children/families presenting for Outpatient Clinic, Rehabilitation, and Behavioral Health appointments. Checks- in patients in Athena. Checks-in Trauma Behavioral Health patients in Meditech.

  • Assists children/families presenting to the Acute Care Clinic or for Inpatient/Observation visits. Checks-in patients in Meditech.

  • Obtains proper consents for all patients, either from the parent/legal guardian or from DCFS. Also ensures that existing consents are updated on an annual basis.

  • Ensures that all demographics are accurate by confirming with the parent/legal guardian.

  • Ensures completion of Delegated Authorization for Treatment of a Minor, so as to confirm who, besides parent/legal guardian is authorized to bring the minor in for care.

  • Collects and verifies all insurance information for planned admissions, ensuring that the hospital is contracted with the plan and that proper authorization is obtained. Works with the Admissions Coordinator to facilitate the transfer of clinical documentation to the insurance plans.

  • Verifies insurance for all outpatients, ensuring that the hospital is contracted with the plan and that proper authorization is secured, when needed.

  • Prints registration forms and applies the wristband to the patient, after confirming verbally that it is the correct patient.

  • Registers parent/guardian, as appropriate, for the electronic patient portal.

  • Scans/faxes ID cards; insurance cards; consents; school authorizations; coordination of benefits; out of network notification; observation notification; and referrals/authorizations.

  • Collects patient copay amounts as required per contractual agreement with patient's insurance plan. Works in aiding self -pay and other families noting financial hardship and helps facilitate contact with the OP Financial Counselor.

  • Stays apprised of Medicaid, Medicaid Managed Care and all other insurance changes and is able to assist patients in navigating common insurance related questions with ease.

  • Pre-admits the monthly transfusion patients and supplies the Case Manager with labels.

  • Works with HIM to obtain proper ICD10 code(s) for admissions.

Job Requirements:


  • High school diploma preferred.

Related Work Experience:

  • Related work experience required; previous hospital experience with HMO experience preferred

Specialized Knowledge and Skills:

  • Typing skills required; ability to think objectively and multi-task required; working knowledge of Microsoft Word & Excel preferred

CPR required:

  • Only certifications issued by the American Heart Association or the American Red Cross will be accepted.

The HR Generalist works closely with the Chief Talent Officer &amp; Executive Director of Talent in supporting designated Human Resources functions. They will:</p><ul><li><p>Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments.
