The HR Data Specialist is a full-time position that supports both employment contracts and student employment. The Specialist is mainly responsible for timely, accurate data entry and employee record maintenance. The Specialist assists with switchboard responsibilities and also provides other HR support for the department.
What will I do in this position?
RESPONSIBILITIES:
Essential job responsibilities include but are not limited to:
- Process data entry needed for payroll and employee records ensuring that records are entered accurately and efficiently for both Student Employment and Contracts. Maintain accurate electronic employee files and index in the HR document storage system in a timely manner.
- Accurately and efficiently assist in managing contracts issued to faculty and Professional & Administrative staff (i.e., acceptance, payment, and documentation).
- Process Professional & Administrative part-time athletic contracts from issuance to payment.
- Assist with auditing faculty degree records.
- Assist with tracking faculty promotions, reviews, sabbaticals, contract types.
- Track and process incoming transcripts.
- Review Payroll Audits.
- Respond to or triage employee questions related to contracts.
- Maintain accurate electronic employee files. Audit records for accuracy and correct data, if needed; reconcile records.
- Support data processes for various operations throughout the Benefits employee life-cycle.
- Identify and recommend operational improvements to streamline HR processes and procedures.
- Serve as the main operator to answer and appropriately direct calls coming into the University's main switchboard approximately 10-12 hours per week.
- Oversee the set up and termination of technology access for non-employee classes and regularly audit independent contractor status.
- Process PR exception requests and necessary pay statements as directed.

Secondary job responsibilities include but are not limited to:
- Provide front office backup coverage.
- Serve as backup for other contract and benefit activities when staff are out.
- Provide cross training with other staff, as needed.
- Assist with miscellaneous department duties as assigned.
What will it take to succeed in this position?
Minimum Education and Experience:
- High school diploma or GED equivalent, required
- Two years of related experience with data entry, required
- Experience with HRIS databases and running/analyzing reports, strongly preferred.

- Excellent interpersonal skills with ability to interact with a variety of individuals in a professional, kind and tactful manner in potentially stressful situations; ability to maintain confidential information
- Excellent organizational skills
- Highly detail-oriented with proven accuracy in data entry completion.
- Ability to effectively plan and prioritize tasks and projects, completing them accurately within deadlines
- Ability to provide consistent, efficient, and timely customer service
- Knowledge of FERPA regulations
- Intermediate level computer proficiency and technical aptitude with ability to use Microsoft products and HRIS system
- Ability to pass a background check upon hire and periodically throughout the course of employment

Compensation Range: $22.00 - $25.00 / hr
