The Human Resources Data Entry Assistant performs duties in support of HRIS daily operations. The incumbent will also assist with other HR clerical duties.
Perform data entry of all personnel actions in the applicable database on a scheduled basis. Maintain integrity and accuracy of HRIS and, as required, vendor database information. Produce significant output within tight deadlines.
Data Review and Collection
Review employee and student employee new hire and change data forms to determine if all information has been provided and accurate. Such actions involve employee demographic, organizational, compensation, benefit and employment information. Follow up with data source provider to collect the necessary information to complete data entry tasks.
Review and audit ECM system processed documents. Report system issues to system administrator.
Assist in HRIS processes and provides feedback about user needs and opportunities to improve system efficiency.
Work on a variety of employment related projects.
Provide front desk coverage as needed when the Human Resources front desk staff person is not available. Such duties include but are not limited to: Answering the phone, opening and distributing mail, greeting visitors and responding or assisting employee and visitor needs.
Maintain security and confidentiality of files and systems by ensuring that all files and office doors are locked at required times. Share this responsibility with the front desk Human Resources staff person. Participate in regularly scheduled meetings and attend other meetings as assigned.
Perform other administrative office duties such as mailing, faxing, copying and filing as assigned.
High school diploma or G.E.D.
Minimum one year advanced clerical experience and basic knowledge of standard, acceptable Human Resources practices.
Must have intermediate computer skills including knowledge of Microsoft Office Suite.
Demonstrated data entry proficiency with a high degree of accuracy and output. Ability to organize work and meet required deadlines.
Demonstrate ability to follow proper filing procedures.
Demonstrate ability to read, write, prepare and present reports in an understandable manner.
Must have excellent communication skills in order to professionally greet employees and visitor and determine their need in a timely and effective manner. Must be able to demonstrate proper phone etiquette and be able to positively interact with employees, applicants and visitors.
Two year's college coursework in Human Resources, Office Administration, Accounting, Information systems, or a related area.
Two years related experience.
Knowledge of data processing systems and web based applications.
Knowledge of an enterprise software system.
Familiarity with an enterprise content management system (ECM).
