The Human Resources Coordinator manages all of the information flowing through the Human Resources office, organizing and distributing it accurately to ensure that HR is effectively meeting the needs of Luther College employees. Provides administrative support to HR staff, manages the Human Resources office, collaborates with Payroll, and serves as a resource to employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Confidentially, accurately, and efficiently processes the information flowing through the Human Resources office
Serve as the entry point for inquiries made to Human Resources: welcoming visitors, answering telephone calls, answering questions, responding to emails, processing information, generating letters and other documents, forwarding issues or referring to other offices as appropriate
Provide coordination and informational support to employees and supervisors throughout all stages of the employee lifecycle: hiring process, new hire onboarding, employee benefit enrollments, payroll adjustments, performance management, exit process
Collaborate on administration of Luther Works student employment and seasonal summer employment
Maintain accurate information in Colleague, UKG, Guardian, employee files, and other HR systems and tools
Act as a liaison between the College and external providers and vendors, which may include health care, dental care, life and disability insurance, COBRA, retirement plan, workers compensation insurance, background check providers, applicant tracking system, advertisers, and others
Ensure accurate information is provided to payroll and collaborate with the Payroll Specialist to resolve questions
Provide confidential administrative support to the Director of Human Resources, Assistant Director of Human Resources, Human Resources Specialist, and Title IX Coordinator: screening calls, scheduling meetings, preparing documents and other materials, and assisting with projects
Manage the Human Resources office, including maintaining forms, preparing materials, monitoring and purchasing supplies, and processing invoices
Supervise the Human Resources student employee(s), prioritizing and assigning their work
Other duties as assigned to support the Human Resources function
SUPERVISORY RESPONSIBILITIES:
EDUCATION, EXPERIENCE, and SKILLS:
High school diploma required, associate's degree preferred
Three years' office experience or equivalent combination of education and experience required
Excellent organizational skills and the ability to manage multiple priorities while working in a fast-paced, high-interruption environment
Strong verbal and written communication skills
Ability to maintain confidentially, communicate tactfully with employees and the public, and serve as a positive public face of the College
Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, alumni, parents, and friends of the college
Proficiency with wide range of software tools, including Google Workspace, Microsoft Office, Adobe Acrobat, Microsoft Windows, Ellucian Colleague, SAP BusinessObjects, WordPress, UKG Ready, and other web-based tools
