We have a fantastic opportunity for someone to join our People Operations team as an HR Coordinator in our San Francisco headquarters. This high-visibility role reports to the Sr. Director, Recruiting & People Operations and will serve as the first point of contact to all Lookout employees for day-to-day HR activities. Other areas of involvement will include: the onboarding experience from offer letter to Orientation and beyond; benefits and compensation; and Workday data stewardship and analytics. This is a 4-month temporary position covering a maternity leave from March - June.

How You Will Make An Impact:

  • Provide first level support for the administration of company-wide human resources policies, procedures, and practices in accordance with company practices, and local legal requirements

  • Coordinate New Hire Orientation to ensure a smooth onboarding experience for all new hires

  • Input, maintain, and ensure the timeliness, completeness, accuracy and confidentiality of employee data (e.g. hires, job changes, terminations and one-time payments) using our HRIS, Workday

  • Document current HR processes (e.g. onboarding, job changes and offboarding process flows)

  • Support benefits administration by answering employee questions and interfacing with our benefit providers and accounts payable

  • Provide recruiting support including conducting background checks and keeping internal stakeholders informed

  • Work with immigration counsel, employees and managers to ensure timely visas for inbound and outbound US travel & work authorization

  • Assist with compliance-related requirements as needed (e.g. EEO-1 submission, posting requirements, managing I-9 compliance, audits, etc.)

  • Coordinate and/or assist in the training of both individual contributors and managers

  • Coordinate other projects as needed. Examples might include managing RFPs for new vendors, updating Employee Handbook and HR Wiki Pages, creating timelines for Open Enrollment, coordinating quarterly performance review cycle

You Will Be Successful If You Have:

  • Bachelor's degree or equivalent combination of education and experience

  • 1-3 years related experience in human resources (preferably in CA)

  • 1-2 years experience with Workday strongly preferred (processing new hires, terminations, etc).

  • Experience with HR programs such as on-boarding, off-boarding, recruiting, engagement initiatives, policy interpretation/administration

  • Experience managing sensitive information, handling it with discretion and confidentiality

  • Project management skills including documentation

  • Solid working knowledge of HR laws and regulations

  • International HR experience a definite plus!

VIEW JOBS 1/22/2020 12:00:00 AM 2020-04-21T00:00 The contract Human Resources Coordinator (HRC) position encompasses both in-depth and routine administrative functions, including daily support of HR's non-executive administrative needs. You must have a strong sense of ownership over your work, be proactive and patient when it comes to dealing with urgent and competing priorities and be persistent in getting the job done. You must always demonstrate the highest degree of confidentiality and integrity and possess a strong sense of professional integrity, maturity and judgment. The work can be demanding so please bring your positive attitude and your sense of humor. The core function of this role is recruitment support but will also give exposure to the main operational aspects of the human resources function. Key Responsibilities include: * Manage the interview scheduling process (Skype / phone / onsite) as well as debriefs for candidates and interview teams and all related administrative action items such as scheduling interview lunches and scientific seminars. * Proactively manage and maintain interview calendars. Identify, communicate and resolve calendar conflicts, and ensure that all calendars are accurate and current * Monitor calendar activity throughout the day, reschedule activities when conflicts arise, provide reminders of upcoming calendar events, and ensure appropriate time is built into overall calendar management that allows for last minute changes and competing priorities * As a key point of contact representing the HR team, ensure an exceptional experience for clients and candidates throughout the interview process, including acting as host for candidates during their interviews, greeting and escorting external visitors, and distributing interview/HR itineraries that are current and error-free * Assist with HR administrative tasks such as filing and archiving of documents and other administrative tasks as needed * Conduct HR and Reporting to ensure the accuracy and completeness of HR records * Schedule ergonomic evaluations and other administrative actions in support of EH&S * Serve as primary contact for large group/departmental meetings requiring catering * On-boarding and offboarding support, including data entry in BambooHR and Plan Source, and scheduling new-hire orientation. Preferred Qualifications: * Bachelor's Degree or equivalent experience combined with 2+ years in a human resources / administrative function. Preference given to candidates with work in the life science, biotech or medical device field.
