Job Summary:

The Human Resources Coordinator supports a wide range of Human Resources & Organizational Development (HR OD) functions, including benefits administration, recruitment support, training and development logistics, managing reports, new hire process, and HR OD operations. This position is located in Seattle, WA and all work is performed in an office environment at Casey Family Programs' headquarters.

Essential Responsibilities:

  • Receives and processes paperwork for new employees and existing employee status changes. Inputs and updates information in HRIS and other systems as needed. Works closely with other members of the HR OD team, the Payroll team, and other Casey work units to ensure compliance with applicable policies and laws.

  • Receives a wide range of HR OD inquiries, internally and externally. Manages inquiries to resolution or refers them to the appropriate person. Responds to all employment verification requests, and manages all criminal background checks. Maintains reference materials and drafts HR OD communications.

  • Supports recruitment of Casey employees. Places advertisements, schedules interviews, and checks references. Assists managers in hiring time-limited employees, interns, and temporary workers.

  • Supports the administration of benefits to Casey employees. Serves as the first point of contact for employees' benefits questions and enters benefits elections/changes into Casey and vendor systems.

  • Supports Development programs and processes. Assists the HR OD team with event logistics, preparation and support. Maintains data related to development and training, including documentation of Continuing Education Units (CEU's), course completions, and other development opportunities.

  • Creates and maintains employee files. Audits files for completeness and compliance with Casey policies and applicable laws on a regular basis. Works with field offices and other work units to ensure record keeping is aligned with local laws and licensure requirements.

  • Assists HR OD team with administrative processes including invoices, employee expense reports, travel, and credit card reconciliations. Ensures compliance with Casey's financial policies and procedures. Backs up the Executive Assistant and supports budget process, calendar for the team, as well as team meetings.

  • Additional duties as assigned including, but not limited to: maintenance of required employment postings for all locations; compliance monitoring, reporting and tracking (i.e. EEO-1, I-9s, etc.); and administration of assigned programs such as Matching Gift, Tuition Assistance, Anniversary Awards, and Sabbatical.

Qualifications:

  • A bachelor's degree and at least 3 years of broad, complex office support experience are required.

  • A strong desire to learn all aspects of HR OD operations.

  • Discretion, confidentiality, and good judgment are required.

  • Strong organizational skills, attention to detail and effective written and verbal communication skills are required.

  • A broad knowledge of computer software and advanced skills in computer systems are required. Experience with Ultipro preferred. Intermediate skills in the Microsoft Office suite are desired.

  • Proven success in working in a diverse, multi-cultural environment is required.

  • Ability to protect the confidentiality of sensitive information by learning and following all relevant policies and protocols and using sound judgment in the handling and sharing of that information.

  • Physical requirements include the ability to lift and reach for light objects; close visual acuity to prepare and analyze data, text, and figures; ability to type utilizing a computer keyboard; ability to travel to outside locations; and the ability to work at a computer for extended periods of time as a primary job function. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Local travel as well as occasional out of town travel may be required. Driving on Casey business may require use of personal vehicle; adherence to vehicle safety guidelines and qualification for insurance is required.

We're looking for someone who has: * 2+ years of experience in a customer service or operational role, ideally in a fast-paced, high-growth environment. * Top notch customer service skills when answering employee requests and questions. * Ability to maintain a high level of confidentiality with all employee records and information. * Strong organization, verbal and written communication, and interpersonal skills. * You index high on personal resilience and don't get flustered by change or undefined problems. * Experience thinking critically, working independently, and solving problems. * Accurate record-keeping and proper documentation skills. Attention to detail is key! Nice to haves: * 1+ years of experience as an HR Coordinator or HR Assistant * Experience with Workday and Google Suite a plus.
