A Brief Overview

The Human Resources Assistant role is to perform a wide variety of administrative duties, contributing to the efficient operation of the department. The HR Assistant provides direct support to the Human Resources Operations Manager and VP of Human Resources, while providing support as required to the HR team as a whole. This position communicates and interacts successfully with individuals at all levels within the organization; including external customers of the department.

What you will do

  • Provide assistance for front desk phone and greeter duties, including: phone screening, referring messages, answering questions, transferring calls, scheduling, word processing, faxing and scanning.

  • Forwards necessary forms to appropriate HR team for timely processing.

  • Assist in the communication of the 90-day performance appraisal process; review and track incoming performance appraisal forms and entry into HRIS system.

  • Maintain personnel and human resources related files. Responsible for maintaining and filing all documents; organizes file room.

  • Responsible for reporting of Employee Licensing and Certification System. Which includes, checking Primary Sources, following up with leadership for any overdue licensure/certifications. Enters to HRIS system accordingly.

  • Sorts and distributes mail to and from the department.

  • Handles employment verification requests.

  • Demonstrates excellent communication skills on the telephone and answers within 3 rings.

  • Maintains and processes identification badges for employees, volunteers, students and third-party.

  • Offers HR support for annual events and hospital wide orientation events.

  • Employee must perform all duties and responsibilities in accordance with the C-I-CARE Standards of the Hospital. C-I-CARE is the foundation of Stanford Health Care

  • Tri-Valley patient-experience and represents a framework for patient-centered interactions.

Education Qualifications

  • High School Diploma or GED Required

  • Associate's Degree Preferred

Experience Qualifications

  • HRIS experience. Required
  • 1+ year to 2 years HR experience Preferred

Required Knowledge, Skills and Abilities

  • Proficiency in typing and word processing skills essential, spreadsheets/database experience preferred.

  • Proficient with Word, Excel, and PowerPoint preferred.

  • High degree of accuracy and detailed oriented.

  • Excellent organizing and multi-tasking skills.

  • Multi-tasking.

  • Calendaring.

Base Pay Scale: Generally starting at $23.99 - $29.52 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
