Under the general direction of the Director of Human Resources, this position is responsible for providing administrative support to the Human Resource Director in the areas of compliance, HRIS administration, recruiting, training and development, event planning, and special projects.

Essential Duties and Responsibilities:

Human Resources Assistant

  • Maintains an organized system of filing personnel records in compliance with Federal and State laws and University policies related to records retention. Regularly audits files and takes action to ensure compliance (e.g., I-9 forms/documents, background checks, annual paperwork, etc.).

  • Works closely with the HR Director to support the timely posting and recruitment of Faculty, Staff, and Adjuncts.

  • Assist Department Heads with the current job description, Personnel Action Form (PAF), and Request to Fill (RTF) Form, and create job postings in ADP Workforce Now.

  • Assist with posting and updating information on the HR webpage.

  • Assist with preparing letters for employees.

  • Assist with background checks and reviews for clearance and print a copy for personnel files.

  • Ensures all new hire documents are completed before the start date, and follows up with candidates when necessary.

  • Reports time-to-hire and other relevant human resource statistics using ADP data.

  • Assist with creating new hire onboarding packets.

  • Collects and delivers department mail

  • Orders department supplies and ensures that equipment is in good working order.

  • Troubleshoot equipment issues with IT and/or vendors to resolve quickly.

  • Tracks employee data maintained outside of ADP Workforce Now (Excel) and provides regular reports to the HR Director.

  • Oversees submissions to the HR-secured portal and fields communication, as appropriate.

  • Monitors the HR email inbox

  • Supports the HR Coordinator in processing end-of-year tax documents and employee communications related to 403(b).

  • Works with the HR Coordinator to support the open enrollment benefit process.

  • Works with the HR Director, and supports the training and development process.

  • Assists with the coordination of annual and special events such as retirement recognition, professional development day, annual service awards, etc.

  • Observes, recommends, and implements efficient and effective department processes for continuous HR improvement.

  • Supports annual audits

  • Completes other projects and duties as assigned.

Education:

Minimum: Associate's degree in business, or other related field (two years required education)*

  • Note: Every two years of experience directly related to the duties of this job can be substituted for every one year of required education.

Preferred: Bachelor's degree preferred.

Experience:

Minimum Requirement:

  • 3-5 years of experience working in an office environment is required.

  • Strong Microsoft Word, PowerPoint, and Excel skills, as well as, a command of Google Drives/Docs/Sheets.

  • Excellent organizational and time management skills.

  • Understanding of basic employment laws, regulations, and guidelines.

  • Strong customer service focus with excellent interpersonal skills and the ability to communicate effectively verbally in person, via telephone, and in writing.

  • Ability to manage multiple priorities simultaneously in a fast-paced environment.

  • Must be self-motivated with a demonstrated ability to learn quickly, multi-task, set priorities, and work independently as well as part of a team.

  • Must maintain a high level of discretion and maintain the integrity and confidentiality of human resource files, records, and personnel information.

Preferred:

  • 2-3 years of experience in a human resources role is preferred.

  • Bilingual in English and Spanish is strongly preferred

  • Knowledge of ADP Workforce Now
