Position Title: Human Resources Assistant - Education FLSA Status: Nonexempt

Salary Range $18.00-$21.00 hourly.

Department: Human Resources

Supervisor Title: Director of Human Resources

I. POSITION OBJECTIVE

This position maintains confidential employment and education files ensuring all necessary paperwork is completed per state regulations. Maintains personnel information including staff employment and medical records and assists in the administration of various employee relations programs. Leads computer literacy for all Team Members through personalized computer training for various systems available on campus. Coordinates education records for all employees, contracted employees, and volunteers. Utilizes Relias Learning Management System for all team education and re-education. Assists with training programs and continuing education activities for all Team Members. This position works with Infection Prevention to maintain medical records related to vaccinations.

II. ESSENTIAL FUNCTIONS

  • Maintain the Relias Learning Management System. Assign annual required education material through Relias. Maintain and update education records. Track participants in Relias for in-services, seminars, fire drills, and other additional training. Assign, track, and report on yearly education. Set up Live Fire Extinguisher Training including completing the follow up education for those that do not attend. Run end of year reports tracking education compliance. Assist Team Members in completing their education requirements.

  • Assist Team Members in gaining access to various software programs that the community utilizes. Assist new Team Members in completing mandatory new hire education requirements after orientation.

  • Process and track corrective action letters and retraining for general retraining, incidents and medication errors for all Team Members.

  • Complete tasks for HR including employment verifications, processing terminations, entering changes into HCM (terminations, vaccination information, etc.), and tracks performance evaluations.

  • Create and distribute posters for events and in-service flyers.

  • Assemble orientation/educational packets and assist with the general orientation process as directed.

  • Send reports and other information regarding new Team Members promptly to individuals as directed by the Director of Human Resources. Inputs information about new hires into various software programs.

  • Coordinate the use of the HR conference room. Maintain cleanliness in both areas. Set up and break down HR conference room for in-services and training.

  • Maintain the Contracted Employee/Student files, updating as needed. Assist with updating orientation packets for these groups.

  • Schedule stay interviews and send out 45-day surveys to new hires.

  • Maintain tracking PODS.

  • Team Member Appreciation Committee (Agenda, Minutes)

  • Assist with reports as needed.

  • Works closely with the Education Committee to determine best use of our learning platform, Relias. Attends the Education Committee meetings to discuss new requirements or regulations pertaining to education.

  • Sending and tracking reports of the department completions of evaluations are done in the month they are due.

  • Updates the Human Resources community board with a monthly calendar of events, birthday celebrations, and anniversaries.

  • Works closely with our partners in various Apprenticeship programs and provides support to the Team Members enrolled in them.

  • Create PowerPoint presentations, Excel Spreadsheets, and other informational material as requested by the Director of Human Resources.

  • Updates job descriptions as needed.

III. OTHER JOB FUNCTIONS

Performs specific work duties and responsibilities as assigned by supervisor.

IV. KNOWLEDGE / EXPERIENCE REQUIREMENTS

  • High school graduate or equivalent.

  • Two years' experience in an HR setting or the secretarial/clerical field and one-year computer experience.

  • Must have great customer service skills, possessing the ability to handle people with courtesy, firmness and tact.

  • Must be computer literate in Microsoft Office and possess accurate typing skills.

  • Detail oriented, organized, neat, respectful, multitasking, strong people skills.

  • Ability to prioritize and manage multiple tasks concurrently.

  • Good written and oral communication.

  • Must possess a sense of responsibility and integrity in treating confidential material.

  • Must be comfortable working around COVID-positive residents.

  • Must comply with Masonic Village vaccination policies.
