This position is for either a Human Resource Assistant III or Human Resource Representative depending on the selected candidates qualifications and University Housing and Dining (UHD) business needs. This is an on-campus position.

Purpose

This position supports approximately 1,500 students, part-time, and full-time staff that includes a large Spanish-preferred workforce and performs professional-level human resource duties, coordinating and administering human resource support. Provides customer service for University Housing and Dining Human Resources Office, as the first point of contact for employees and applicants. Utilizes Human Resources (HR) knowledge and advanced administrative skills, requiring the use of initiative and judgment.

Responsibilities

  • Serves as initial contact and coverage for HR office. Greets employees, visitors, and students in English and Spanish, determines their needs, and directs them appropriately. Answers and refers phone calls and inquiries to ensure accurate and timely communication. Responds to requests for information. Provides quality internal and external customer service.

  • Assists applicants and new hires in English and Spanish with completing and submitting required paperwork. Explains procedures. Handles sensitive and secure documents appropriately. Handles confidential, routine, and non-routine information. Advises managers and supervisors on HR processes and requirements for employment-related matters.

  • Provides administrative support functions for the HR office. Schedules and organizes meetings, calendars, and office activities utilizing SharePoint and Outlook. Maintains monthly task lists, metrics, and deadlines. Finalizes audits of completed processes utilizing checklists within ticket system. Utilizes internal software and processes to complete tasks and communicate with coworkers.

  • Assists with keying employee position assignments into HRIS. Assists with marketing, recruiting, and advertising for open positions and assists with the application process.

  • Maintains and updates filing systems for the HR office. Manages the collection of recurring employment documents and files. Retrieves information from files when needed. Photocopies and transmits information and documents. Performs data entry.

  • Completes special projects, including disseminating information. Works independently and as a team on nonrecurring and ongoing projects.

Required Qualifications

Human Resources Assistant III

  • High School Diploma or GED

  • At least 4 years in a human resources function

  • Knowledge or skill of personal computer and office equipment

Human Resources Representative

  • Bachelor's degree in human resource management, business administration, social sciences, public administration, or a related field.

  • At least 2 years in a human resources function.

  • Knowledge or skill of personal computer and office equipment

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Bilingual in English and Spanish highly preferred.

  • Experience in Workday.

  • Experience working in a university setting.

  • Experience with providing administrative support functions to the HR office including scheduling, organizing meetings, managing calendars, and/or other office activities.

  • Ability to interpret meetings, read and translate documents, and effectively communicate in both English and Spanish.

Salary Range

Human Resources Assistant III

$44,500 + depending on qualifications

Human Resources Representative

$50,000+ depending on qualifications

Work Shift

  • Monday - Friday, 8:00AM - 5:00PM. Hours and days may vary due to business needs. This is an on-campus position.

Employment Eligibility:

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
