The Human Resources Assistant is responsible for providing support to the Human Resources Department.

Essential Job Functions

  • Assist with benefits administration in Oracle HCM and ensure compliance with the Affordable Care Act. Monitor new hire enrollment and life event changes in Oracle HCM by running weekly reports, verifying supporting documentation when required, and closing out the transactions. Process enrollments, changes and cancellations in Oracle HCM when manual data entry is required. Ensure plan guidelines are followed.

  • Act as a liaison between former employees and third party COBRA vendor.

  • Assist with the annual benefits open enrollment process and communications.

  • Audit monthly benefit bills, process invoices for payment, and maintain records as required.

  • Investigate and resolve any discrepancies.

  • Assist with processing terminations in Oracle HCM and completing required termination steps. Ensure appropriate documentation is received and state requirements are followed. Prepare separation paperwork.

  • Responsible for managing personnel and department records electronically. Scan and code employee and non-employee documents into the FileNet recordkeeping system in a timely manner ensuring the correct employee clock number, name, document class, document type, description and date are applied. Maintain accurate records in FileNet by updating name changes, terminations, rehires, transfers. Audit documents periodically to ensure accuracy and assist with fulfilling requests for copies of employee records.

  • Manage the E-Verify process for all driver new hires, auditing records to ensure 100% completion.

  • Ensure accurate data in Oracle HCM by entering manual records, adjustments and mass updates.

  • Audit 401k deferral changes and address updates.

  • Assist with updating HR forms and documents.

  • Assist with company events such as the annual corporate picnic, Bring Your Child to Work Day, Toys for Tots, AED Training and flu shots.

  • Prepare new hire onboarding materials.

  • Assist employees with questions related to benefits, policies and procedures.

  • Assist with ensuring C-TPAT requirements are followed.

  • Maintain records of all off site files ensuring logs and binders are accurate and up to date.

  • Assist with other HR related projects on an as needed basis

  • Duties, responsibilities and activities may be assigned or changed from time to time.

  • Associates or Bachelor's degree in Human Resources or related field preferred.

  • 1-2 years' experience in an Administrative or Human Resources role preferred.

  • Prior direct entry experience with Oracle HCM or another HRIS highly desired.

  • Computer skills: MS Word, Excel, Outlook, and Power Point (Access is preferred).

  • Excellent organizational and time management skills and ability to multi-task.

  • Customer service oriented with excellent interpersonal skills.

  • Strong attention to detail.

  • Ability to work in a highly confidential environment and exhibit professionalism at all times.

  • Ability to manage multiple priorities as well as flexibility to adapt to change with new systems and methods while working in a team environment.
