We are currently seeking a Human Resources Assistant to join our team. In this position, you will be you will be responsible for maintaining the organizations HR files, paperwork, and documents ensuring the departments operations are streamlined and efficient.

Primary/Essential Duties and Responsibilities

  • Creates new hire file and ensures all required documents are in the file.

  • Maintains the organizations digital and hardcopy filing systems.

  • Scans files and upload digital copies to the database

  • Makes necessary updates to records with new information

  • Appropriately file and quickly retrieve documents and paperwork when requested

  • Audits all files for accuracy, content, and completeness.

  • Gathers and organizes terminated files and prepares for storage.

  • Verifies for accuracy, completes and maintains I-9's.

  • Responds accordingly to unemployment claims

  • Processes and manages Employee Referral Program.

  • Other duties as assigned.


  • Minimum 1 to 2 years human resources or comparable experience

  • Ability to efficiently and accurately manage large volumes of documents and files.

  • Time management skills with the ability to multitask and thrive in a high volume high-paced work environment

  • Strong computer proficiency. Excellent in MS Office applications.

  • Excellent written and oral communication skills.

  • Accurate, organized detail oriented and efficient.

  • Excellent organizational abilities

  • Experience with HRIS database preferred.

  • Strong team player, reliable and ability to adjust to a rapidly changing environment.

  • Flexibility and ability to work in a fast-paced environment.

  • Ability to work independently and as part of a team.

  • Ability to maintain highest level of confidentiality, especially with highly sensitive issues.

  • English will be the primary language used; bilingual abilities useful but not required.

This individual will work closely with internal counterparts for successful planning and delivery of HR programs and services to the business. The position is located Irvine, CA. Duties and Responsibilities: * Maintains an open line of communication with management and employees and proactively assesses and diagnoses organizational issues in partnership with management while providing consultative support in the areas of: * Change Management * Talent Management * New leader assimilation * Performance management * Succession planning * Talent development * Employee relations * Conflict resolution * Project management * Workplace safety * Partners with HR Centers of Excellence to develop solutions in response to business issues and needs * Interacts with key matrix HR partners (domestically and internationally) * Understands the business and its goals & objectives * Creates, implements and/or supports HR programs and services that are aligned with corporate culture, and corporate HR and business strategies * May coordinate the HR aspects of merger and acquisition activities, functional consolidations, or other large HR initiatives for the assigned business groups * May lead or support other initiatives as assigned #LI-LF1 #MI Job Requirements: * Bachelor's Degree in Human Resources, Business or other related field plus a minimum of 8 years progressively related experience in a fast-paced work environment * A thorough understanding and knowledge of CA and federal employment laws * Proven ability to have a hands-on approach while maintaining a strategic mindset * Strong analytical and organizational skills and the demonstrated ability to solve problems quickly, creatively and ability to work in an unstructured and dynamic environment * Must desire a high level of autonomy to manage and navigate multiple ongoing issues and employee relations matters with minimum supervision and with excellent execution * Should be assertive and possess strong influencing skills * Strong coordination and collaboration skills with a positive reputation for working effectively across levels of an organization * Effective communication skills, both verbal and written, with all levels of management and employees * Ability to travel domestically approximately 5% Preferred Qualifications: * Professional Human Resources designation, such as SHRM-CP, SHRM-SCP, PHR or SPHR * Experience working across diverse cultures * Organizational development and change management experience * Previous experience in at a Medical Device company * Working knowledge of HR software tools (ie.
