The Human Resources and Faculty Affairs team within the SDSS Dean's Office is the central resource for management of HR actions for all employees, including: faculty, non-academic staff, academic staff, visitors, and temporary employees in the school. We provide HR, Faculty Affairs, and Academic Staff subject matter expertise as well as the highest levels of customer service in managing and advising on all school wide processes and issues. We are seeking to hire a full-time Human Resources and Faculty Affairs Administrator with strong customer service and problem-solving skills, who enjoys various responsibilities, has amazing attention to detail, and can build rapport quickly and become an integral part of the team. The position will report to the Assistant Director of Human Resources and Faculty Affairs and will work with the HR and Faculty Affairs team, department and faculty leaders, and managers across the school in a collaborative environment. The ideal candidate will be highly motivated, be up for a challenge, love working closely with a team, know how to take initiative and get things done, and more importantly, have a sense of humor. Your Responsibilities will include:

  • Manage HRIS data management activities, including PeopleSoft transactions.

  • Monitor personnel action reporting to ensure data integrity and compliance.

  • Develop and run reports for audit and metrics purposes and set up initial labor schedules for new hires using Oracle and PeopleSoft systems.

  • Develop and maintain a wide variety of reports and queries. Analyze and monitor data. Recommend and implement process improvements.

  • Assist in onboarding and exit processes of employees, including reviewing and tracking I-9s, tracking required compliance training, and ensuring proper termination procedures are followed.

  • Support the process (transactions, tracking, and documentation) for faculty, academic-staff teaching, academic staff-research, and visiting appointments using the Faculty and Academic Staff Appointments (FASA) system.

  • Process and track approved activities (e.g., sabbaticals and other leaves, resignations, retirements, FTE changes, salary changes) for all employees and maintain appropriate documentation.

  • Track and manage faculty sabbatical balances in partnership with the Assistant Director of Faculty Affairs.

  • Track academic staff-teaching appointments and reappointments and ensure the appropriate documentation is provided and any employment updates are made in a timely manner.

  • Manage the temp/casual hiring process.

  • Assist in coordination of the visa process, as needed.

  • Support major annual HR and Faculty Affairs projects, such as faculty annual reports, performance appraisals, and salary planning, including school-wide communications, tracking, reporting, compliance, and process improvement efforts.

  • Perform time and leave administration duties as needed, such as timecard adjustments and approvals. Work with managers to research and resolve any pay issues.

  • Maintain personnel, human resources, and faculty affairs related files.

  • Provide general administrative support for human resources and faculty affairs staff.

To be successful in this position, you will need:

Education & Experience:

Associate degree and four years of relevant experience, or a combination of education and relevant experience.

Knowledge, Skills and Abilities:

● Demonstrated experience applying and interpreting human resources and/or faculty affairs policies and procedures.

● Demonstrated experience successfully managing programs and/or projects.

● Strong attention to detail and accuracy.

● Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.

● Ability to work independently, consistently follow through with projects and assignments, and meet deadlines.

● Excellent oral and written communication skills to independently draft effective correspondence and documentation.

● Demonstrated strong and effective interpersonal and customer service skills.

● Strong analytical, critical thinking, and problem-solving skills.

● Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel, and PowerPoint). Must be skilled in human resource management systems, such as PeopleSoft and time/leave systems. Experience using email and internet.

In addition, our preferred requirements include:

● Knowledge of Stanford University systems and policies.

● Experience as a Human Resources Administrator 1 at Stanford University.

The expected pay range for this position is $77,000 to $92,000 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
