We are currently seeking a Human Resources Administrative Assistant (Full-time). In this role, the qualified candidate will provide assistance to our management staff, employee population, and internal HR team. The position is based in Parsippany, NJ, requiring a full-time work schedule, five days a week during core working hours. A physical presence in the office is required three to four days per week.

Your Role:

  • Complete all pre-employment and onboarding administration tasks from offer to hire, using Taleo, other vendor platforms, and Oracle.

  • Coordinate all required documentation within our automated platform.

  • Maintain all physical and electronic employee files.

  • Coordinate drug and physical screenings for new hires and current employees.

  • Respond to field employee inquiries, including but not limited to benefits and payroll.

  • Support performance assessment and other HR-related tasks throughout the year.

  • Collect, verify, process via E-Verify, and maintain I-9 documentation ensuring compliance.

  • Order required compliance posters for offices and project sites.

  • Process and oversee our transportation benefit program.

  • Handle invoice and expense processing.

  • Administer and process employee referral bonuses and tuition reimbursement.

  • Administer the DISA system.

  • Maintain and distribute reports as needed.

  • Prepare mailings using FedEx, USPS, etc.

Qualifications:

  • High School Diploma or equivalent. Associate degree or equivalent work experience preferred.

  • Excellent computer skills and knowledge of Microsoft Office, including Excel, Word, and Outlook.

  • Ability to learn and utilize automated systems and processes.

  • Excellent organizational, communication, and interpersonal skills, including phone and email etiquette.

  • Ability to coordinate multiple tasks and priorities simultaneously and independently, while maintaining a high level of quality in a fast-paced HR environment.

  • Creative problem solver who works in a professional and ethical manner to support employees and managers.

  • High degree of customer service, professionalism, discretion, and confidentiality required.

  • Self-motivated with the ability to work with minimal oversight.

  • A pre-employment drug screen in compliance is required.
