Under the general direction of the Manager, Human Resources, the HR Representative is primarily responsible for providing business and administrative support for the HR Team of HR Business Partners (HRBP). This involves basic data gathering and analysis, project work, responding to inquiries from employees and managers, and general administrative tasks. As a member of the MGH HRBP team, the HR Representative will exercise judgment, take initiative, ensure confidentiality and participate in initiatives in support of the HR department.
Responsibilities
Assists with entry level employee relations concerns as directed by HRBP
Liaisons with central services (i.e. Payroll, Benefits, Leave of Absence, Retirement, etc.) to assist with employee inquiries
Gathers and analyzes data related to standard HR metrics at the request of HRBP
Participates with compensation reviews by gathering employee resumes and salary calculations, and creating or inputting data into a spreadsheet for review
Provides coverage for HRBP leaves of absence and vacation; supports small business unit(s) under the guidance of an HRBP
Participates in job description reviews and makes recommendations to the HRBP
Coordinates the grievance process which includes scheduling the committee and room, gathering the employee files, assembling and delivering packets to committee members, as well as updating the committee list on SharePoint; Coordinates and participates in Grievance Committee training for new committee members
Completes and/or facilitates employment verification requests as needed; works with departmental leadership and Records to complete employee file requests
Provides support during the annual benefits open enrollment period by answering employee questions, participating in trainings, scheduling sessions, preparing information for distribution
Builds and/or runs Access and PeopleSoft queries as requested
Participates with, and often manages, special projects as identified by HRBP
Assists managers, employees, and/or timekeepers with Kronos and PeopleSoft MSS issues; Acts as contact person for departmental organizational changes to PeopleSoft reporting structures
Conducts exit interviews as directed by HRBP
Helps organize training and development initiatives; may participate in training sessions
Facilitates alternate orientations for new employees and prepares benefit packets
Supports compliance-related activities (i.e. The Joint Commission, other regulatory visits and audits)
Inputs corrective action in PeopleSoft; ensures that corrective action and other relevant HR documentation is maintained in the electronic employee record
Schedules meetings and coordinates meeting/conference space to include scheduling, invitations, food, set up, audiovisual equipment and general set-up needs
Collates information packets for HR initiatives
Participates as needed with hospital-wide employee recognition events
Assists with diversity & inclusion efforts and initiatives
Responsible for keeping the office environment well organized and maintained; orders supplies, manages mail
Performs other related duties as assigned
Working Conditions
The Human Resources Department is a fast-paced environment. This position involves meeting deadlines and working with a diverse group of individuals. The HR Representative will be based at 75 Blossom Court and will have frequent travel throughout the MGH campus.
Qualifications
Bachelors degree required
Some exposure to Human Resources and general knowledge of human resources policies and procedures preferred

Possesses excellent interpersonal skills in order to assist both internal and external
customers
Ability to take initiative, work independently as well as collaboratively as a team member
Ability to maintain appropriate confidentiality
Ability to deal tactfully and effectively with employees, staff, and community agencies
Must be extremely well organized with the ability to multitask, prioritize, adhere to deadlines and be flexible
Demonstrate knowledge of MS Word, Excel, PowerPoint, Outlook and Access
Effective problem-solving skills and the ability to identify the need to escalate issues
