The HRIS Specialist sits within the Human Resources department and works closely with the IT, Payroll, Finance and Accounting departments on a regular basis. As an integral part of the Human Resources department, the HRIS Specialist provides comprehensive administration of the HRIS that supports HR data, onboarding, and training. This position is responsible for HR related data, companywide metrics and reports, and ensuring all systems are running without issues.


  • Maintain data integrity for ~5000 employees in Workday. This includes entering, auditing and maintaining employee data for staff located in U.S. and Canada.

  • Work closely with the HRIS team and provide an ongoing technical support for Workday HCM, Absence, Time Tracking, and Talent.

  • Troubleshoot and resolve complex production system issues.

  • Train end users on processes and system functionality.

  • Monitor HR and end user information needs and create documentation as needed.

  • Handle confidential data with care and ensure all necessary security measures are taken.

  • Prepare for and support twice-annual upgrades and annual HCM processes.

  • Assist with setting up performance review templates and launching the process in Workday.

  • Design and distribute, weekly, monthly, quarterly, year-end and ad hoc reports.

  • Generate headcount/turnover, HR, benefits and compensation reports.

  • Run weekly and bi-weekly new hire, termination and hourly payroll reports.

  • Compile compensation reports of employee salaries to assist with developing a budget for annual increases and audit compensation on a regular basis.

  • Develop and execute audit queries for HRIS data integrity.

  • Develop and maintain business solutions for Human Resources utilizing Workday.

  • Responsible for day-to-day administration and maintenance of Workday.

  • Create a roadmap of features to roll out and related training programs to educate users on functionality.

  • Proactively formulate ideas and recommendations for system improvements.

  • Participate in projects and other duties as assigned.

Required Skills and Qualifications

  • Bachelor's Degree

  • Attention to detail is crucial, problem solving competencies are vital, sense of humor a must.

  • 1-2 years of experience with HRIS system, Workday required.

  • Must be able to understand the Workday Business Process framework and Integrations.

  • Strong analytical, problem solving, organizational, interpersonal, and communication skills required.

  • Proficiency in Outlook, Word, PowerPoint, and Excel.

  • Must have strong understanding of relational databases and query concepts.

  • Able to perform in a fast-paced environment while always maintaining excellent service.

  • Ability to handle sensitive information in a confidential manner.

  • Maintain flexibility to take on additional responsibilities, as needed.

  • Ability to work independently.

Preferred Experience

  • Workday configuration experience in one or more modules (HCM, Advanced Compensation, Absence, Time Tracking)

Under supervision, the Specialist will ensure that all Human Resources metrics are accurate and Human Resources tools are created and maintained for assigned regions. Job Description ESSENTIAL JOB FUNCTIONS: HRIS Reporting * Write, maintain, and support a variety of reports or queries utilizing appropriate reporting tools. Develop standard reports for ongoing customer needs. * Serve as functional/ technical resource for staff, share expertise and assist with coordinating follow-up training and workflow. Document process steps for standard processes and reports. * Monitor report requests as received via ALL HRIS Report Request emails. Ensure that all re-quests are acknowledged and completed in an accurate and timely manner. As needed, inquire further about requests to ensure confidentiality of data, data needs and work with clients to set realistic time frame for final product. Ensure that all requests are documented on tracker noting both ad hoc and weekly/monthly/quarterly reports. * Execute timely and accurate annual reports for specific initiatives and distribute to ROM and Payroll: such as but not limited to Employee Day, Holiday Gift, and Service Award. HRIS Maintenance * Develop a system to ensure monthly audits of employee information to identify data discrepancies. Audits should cover newly entered employees, status & other changes as well as existing employee information. Work with team to correct and/or research discrepancies as needed. * Maintain data integrity in systems by running periodic audits, analyzing and identifying data discrepancies using queries and working closely with the HR team to ensure data corrections are completed timely and successfully to ensure system health. * Assist in the analysis, design, testing, and implementation of HRIS system upgrades or patches. Collaborate with functional and technical staff to coordinate system software fixes or updates. * Responsible for reviewing and maintaining ADP Enterprise core system table configuration to ensure compliance, consistency, and provide recommendation to business process changes. * Understand all aspects of security maintenance for all ADP HCM modules and troubleshoot user issues to ensure appropriate access per JR and IT security guidelines. * Document maintenance and troubleshooting procedures for business continuity and, maintain current system user listings. Time and Attendance System Administrator * Monitors the system administrative issues to ensure a timely resolution and follow up with clients; identify, analyze, research and escalate technical issues, ensuring timely resolution for users. * Maintain manual exceptions information; vacation exception, etc. * Liaise with IT staff to process year end and New Year data to ensure accurate carryover of information as well as update system as needed. * Ensure vacation/UPA calculation process for terminating employees is being followed –monitor calculations performed by team as needed. Streamline process where possible. * Support Legiant employee data updates: Legiant Supervisors, assigning work schedules, and adjusting leave accrual balances for existing and new employees to ensure info is maintained and up-to-date. * Working closely with IT to analyze, design, and set up system configuration related to system security and data tables.
