This role can sit in our Mesa Corporate office, located on Brown and Country Club and will be required to work Sunday through Friday, rotating days off with other staff.

Job Summary

This position ensures confidentiality, accuracy, maintenance and storage of complete employee data. Provides or creates reports and analyzes data that supports Human Resources leadership in effective decision making.

Essential Functions

  • Generates new and maintains existing employee records in Human Resources systems. Verifies records accuracy and reviews documentation to assure proper policy application and regulatory compliance related to maintenance of employee records.

  • Verifies completion and confirms proper approvals to processes employee transactions such as performance reviews, transfers, terminations, exceptions to pay, promotions, demotions , status changes, retroactive calculations and payment authorizations/requests. Reviews input to ensure entries are correct and comply with policy. Troubleshoot direct deposit and researches and resolves other issues related to employee pay.

  • Audits data input into Human Resources systems, investigates and researches rejections and errors, and follows through with appropriate corrections to assure data accuracy and policy and legal compliance. Identifies trends or patterns in usage and errors and works with system and HR staff to review and resolve.

  • Runs standard reports and analyzes data to support Human Resources decision making. Understands the data needs of Human Resources leadership and is able to anticipate additional data elements that will aide decision making.

  • Orients facility personnel (leaders and employees) to Human Resources and/or Payroll systems, e.g. employee and manager self-service. Provides specific training as necessary.

  • Serves as employee records subject matter expert on projects and new system development and implementations including testing, enhancement recommendations, and training as needed for new users.

  • Ensures operational compliance with applicable Federal and State laws and regulations. Coordinates the release of all personnel information, i.e subpoenas, state board, lawyer requests etc. Interacts with appropriate system departments to ensure requested information is accurate and appropriate for release.

  • For assignments specific to employment authorization records, serves as subject matter expert on Employee Eligibility Verification data including Work Authorization process and system implementations including testing, enhancement recommendations, and training as needed for users. Ensures compliance with the Immigration Reform and Control Act of 1986 (IRCA).Partners with HR Advisory Services, HR Business Partners, Employee Relations Consultants, Talent Acquisition, Legal and our Immigration attorneys for additional legal guidance and resources.

Minimum Qualifications

Requires associate degree or equivalent education and/or experience in human resources, accounting, or payroll.

Successful candidates will have past experience in roles where data accuracy and access were key responsibilities. Needed proficiency level typically gained in 2 to 3 years experience in such a role. Needs basic understanding of Human Resources and Payroll functions, applications, and legal environment.

Knowledge and/or exposure to applicant tracking, benefits, recruiting or other areas of Human Resources will be helpful.

Additional related education and/or experience preferred.

The Production Operations Team is responsible for bi-weekly, weekly, manual and special payroll processing, troubleshooting and user application training. It also provides support and expertise on technical payroll system operations including check printing and regulatory software. The team supports testing of new processes and installations, upgrades and fixes on an adhoc, quarterly and annual basis. The team is responsible for Workforce Central security requests, WFC Historical Edits for WFA productivity corrections, payment and correction uploads and process documentation. This position also will represent assigned region on special committees / projects. This position will coordinates and processes specific legislated payroll responsibilities involving tax concerns, child support orders, tax levies and garnishments. Essential Functions * Manages automated systems utilized by managers/editors for submitting special check request, payroll adjustments, Time and Attendance system security and other payroll changes/adjustments needed. Identifies and develops audits/query reports to ensure compliance and prevent errors related to payroll processing * Ensures accurate tracking, payment and adjustments of employees placed on company approved leaves, including, but not limited to transition assistance, administrative leave, DML, PTO Donation, BL as well as payment to contracted employees IE: medical directors. * Ensures accurate tracking and timely reporting of federal and state taxes in compliance with IRS and state mandates. Calculate adjustments into multiple systems to correct taxable earnings errors, add or reduce wages, time accrual and employee deductions. * Assist employees and management in the proper use of the time and attendance system. Provides weekly, monthly and/or special requested Kronos and report training to new Kronos editors and current editors requiring additional assistance. * Enter correcting entries into multiple systems to fix incorrect employee pay checks and calculate and enter time records and deduction information to generate manual checks * Processes and answers all garnishment, wage assignments and levies ensuring that all legal requirements are met as well as calculates employee exempt earnings and deduction amounts for input into the payroll system. Coordinates communication of withholding amount to employee, creditor, governmental agency or attorney. Maintains employee files and logs. * Ensures accurate placing, processing and tracking of accruals, deductions and adjustments of the PTO plan(s) in place. Develop and run queries, audit and monitor time accrual transactions. Make adjusting entries as necessary. * Properly tracks, adjusts and/or refunds deductions withheld from employee paychecks and makes adjusting entries as necessary. Minimum Qualifications Requires a Associates degree in accounting, finance or related field, or equivalent knowledge and/or experience in payroll or finance; Working knowledge of state and federal law as applicable to garnishments, employment taxes, employee benefits and /or employment issues; Demonstrated leadership, organizational, communication (written and oral) and customer service skills; Proven analytical and mathematical skills and ability to prioritize multiple projects and work with minimal supervision; Demonstrated ability to maintain a calm and professional demeanor and maintain confidentiality of sensitive information; Strong computer skills and the ability to create complex spreadsheets and databases; Knowledgeable of office desktop software products.
