As the HRIS Coordinator with Vituity you will be responsible for HRIS data entry, maintenance, reporting and analysis. You will have the opportunity to participate in administering various People Operations processes. You will also function as People Operations contact for Vituity Practice Management employees and refers inquiring parties to the appropriate resources.

Responsibilities include, but are not limited to

Lawson Transactions

  • Receive and process employee changes accurately within semi-monthly payroll deadlines: new hires, status changes, job changes, pay changes, and separations.

  • Coordinate with Talent Acquisition, Onboarding, Payroll, and Benefits departments to ensure integrity of employee information and timely transactions.

  • Work closely with Lawson IT team to create appropriate positions and changes in the system.

  • Assist with Lawson upgrade processes; test and validate data and communicate findings.

  • Assist in conducting root cause analysis when data integrity issues are discovered.

  • Assist in developing procedures for HRIS data management. Identify process improvement opportunities.

  • Provide HRIS backup support and train new HRIS users as needed.

People Operations Support Services

  • Assist with new hire activities including auditing new hire packets in DocuSign, disseminating new hire documents to appropriate parties, requesting IT access, and creating timecards.

  • Assist with answering general employee and manager inquiries including policy clarification, employee benefits and programs.

  • Assist with semi-annual minimum wage increase process.

  • Respond to requests for employment verification.

  • Participate in HRIS triage schedule for VERA incident management; triage incidents to appropriate parties and resolve incidents per Service Level Agreements.

Reporting & Auditing

  • Run semi-monthly pre-payroll reports; contact employee or manager regarding potential discrepancies.

  • Perform standard reporting activities including New Hire Reporting, Verify Comply, EEO-1 Reporting, and other various reports.

  • Work with People Operations and other colleagues to generate informative and accurate reports involving employee data to aid in informed decision making.

Documentation Compliance & Security

  • Help ensure appropriate documentation for employee changes and follow up with missing or pending documentation for record keeping compliance.

  • Create and maintain employee personnel files.

  • Maintain security of network drives.

Special Projects

  • Participate, contribute, and complete special projects as requested including research projects and reports.

  • Bachelor's degree or equivalent work experience required

  • Strong working knowledge of Microsoft Office Suite

  • Strong verbal communication skills and good writing skills

  • Ability to manage routine processes and prioritize tasks to meet deadlines

  • Attention to detail and reliable follow through

  • Strong organizational and customer service skills

  • Intuition to know when to act independently and when to ask for guidance and/or assistance

The Sr. Manger, HRIS executes the HRIS strategy and roadmap projects, including ongoing system enhancements, bug fixes and updates. We are looking for an individual who has strong project management skills, the ability to work on multiple projects/initiatives concurrently, and strong interpersonal relationship skills to work successfully with other groups across the organization. You will have the opportunity to supervise, train, and guide HRIS staff to ensure that HRIS work is being effectively managed across both project work and production support activities. Responsibilities include, but are not limited to… Team Leadership & Ongoing HR Systems Administration * Provide direction, training, establish objectives and provide performance feedback to HRIS team members. Prioritize work across teams to ensure maximum productivity in meeting both project-related work and production support work. Ensure processes are documented and controls for system changes are in place and adhered to; Conduct lessons learned and document for future projects * Manage the setup and data elements of foundational structures in Oracle HCM Cloud * Perform business process configuration for modified or new business processes within HCM system (Oracle HCM Cloud) * Oversee HR systems security and security controls to ensure appropriate access to functionality for users and monitor appropriate data security * Oversee systems quality and data accuracy by ensuring HRIS team members regularly audit data; adhere to internal governance processes that have been established * Partner with IT to assist in their support of integrations from HCM system (Oracle HCM Cloud) to other internal systems (Active Directory, AI, SFDC, LMS, ServiceNow, etc) * Develop and share custom reports and calculated fields for users, maximizing efficiency by reusing existing reports and training users on modifying reports as needed * Report on standard audit processes on daily, weekly, monthly, quarterly or annual basis * Assist users within HR as needed to enable them to more effectively utilize all HR systems * Troubleshoot and resolve complex production systems issues Drive Enhancements in Oracle HCM Cloud and Project Management Support * Stay abreast of new enhancements in each Oracle HCM Cloud release and coordinate with team as to enablement of new functionality * Work with team to determine how new enhancements will impact planned roadmap activities; report status as well as issue escalations * Work with HRIS Analysts to coordinate configuration and deployment of new features * Gather business requirements and scope projects for system requirements (timing and resource allocations) * Develop project plan for system design and development as a lead on technical project work streams * Plan/facilitate project team meetings * Facilitate process/system architecture, configuration, design, and development * Develop test plans/coordinate testing * Manage deployment/cutover tasks to move projects into production * Communicate status reports and project change impacts to key stakeholders * Develop communications plans and manage development and distribution of communications for HR systems * Develop training plans and coordinate execution of training * Identify required systems support and develop/modify support model as required Oversee Workforce Analytics Function * Develop, create, and provide relevant, accurate and actionable HR reporting on a regular basis using data from multiple HR data sources (Oracle Cloud HCM & Oracle Taleo) * Compile, analyze, and synthesize data to communicate workforce status and trends; can 'paint the picture' to what story is being told in a concise and illustrative way * Consult with the business to understand short & long term talent outcomes desired; create reporting to measure progress and / or ROI * Partner with ITS to ensure key data elements are supplied to the enterprise reporting tool (Microstrategy) for integrated data analysis Our Ideal Candidate Profile: * BA or BS in HR Management or Computer Science desirable or equivalent combination of education and experience * 5+ years experience of HRIS Administration. * Minimum 8 years' experience in Human Resources and/or HR Systems. * Minimum 2 + years supervisory/management experience and ability to effectively drive results. * Prior experience supervising or managing a team. * Project Management experience. What will help you stand out: * 3-5 years of HRIS administration experience, preferably utilizing SaaS HR technology. * Proficiency in HRIS applications. * Experience with Oracle HCM, Taleo, OTBI/Bi Publisher. * Experience with Micro strategy.
