As the HRIS Coordinator with Vituity you will be responsible for HRIS data entry, maintenance, reporting and analysis. You will have the opportunity to participate in administering various People Operations processes. You will also function as People Operations contact for Vituity Practice Management employees and refers inquiring parties to the appropriate resources.

Responsibilities include, but are not limited to

Lawson Transactions

  • Receive and process employee changes accurately within semi-monthly payroll deadlines: new hires, status changes, job changes, pay changes, and separations.

  • Coordinate with Talent Acquisition, Onboarding, Payroll, and Benefits departments to ensure integrity of employee information and timely transactions.

  • Work closely with Lawson IT team to create appropriate positions and changes in the system.

  • Assist with Lawson upgrade processes; test and validate data and communicate findings.

  • Assist in conducting root cause analysis when data integrity issues are discovered.

  • Assist in developing procedures for HRIS data management. Identify process improvement opportunities.

  • Provide HRIS backup support and train new HRIS users as needed.

People Operations Support Services

  • Assist with new hire activities including auditing new hire packets in DocuSign, disseminating new hire documents to appropriate parties, requesting IT access, and creating timecards.

  • Assist with answering general employee and manager inquiries including policy clarification, employee benefits and programs.

  • Assist with semi-annual minimum wage increase process.

  • Respond to requests for employment verification.

  • Participate in HRIS triage schedule for VERA incident management; triage incidents to appropriate parties and resolve incidents per Service Level Agreements.

Reporting & Auditing

  • Run semi-monthly pre-payroll reports; contact employee or manager regarding potential discrepancies.

  • Perform standard reporting activities including New Hire Reporting, Verify Comply, EEO-1 Reporting, and other various reports.

  • Work with People Operations and other colleagues to generate informative and accurate reports involving employee data to aid in informed decision making.

Documentation Compliance & Security

  • Help ensure appropriate documentation for employee changes and follow up with missing or pending documentation for record keeping compliance.

  • Create and maintain employee personnel files.

  • Maintain security of network drives.

Special Projects

  • Participate, contribute, and complete special projects as requested including research projects and reports.

  • Bachelor's degree or equivalent work experience required

  • Strong working knowledge of Microsoft Office Suite

  • Strong verbal communication skills and good writing skills

  • Ability to manage routine processes and prioritize tasks to meet deadlines

  • Attention to detail and reliable follow through

  • Strong organizational and customer service skills

  • Intuition to know when to act independently and when to ask for guidance and/or assistance

The HRIS Data Integrity Analyst will provide the organization with accurate, timely and proactive information certification. The role is accountable for executing processes that ensure complete and reliable data, including associated business rules, business formulas, and aggregations for designated output, such as reports, dashboards and operating system fields. This role is the primary liaison with system owners, end users, data entry specialists and IT team members. The role is responsible for educating all users on data entry, how and where data is processed, fed and maintained within and with the HCM system. This role is the lead for HCM system data integrity. Responsibilities include, but are not limited to… Data Cleansing, Analysis & Integrity * Manage foundation structure governance – new site start-up process, maintain work structure tables in HCM (i.e. Dept, Loc, Job, etc.). * Maintain all HRIS data (i.e. site leadership, site representatives). Proactively liaise with business on keeping up to date with frequent changes in business (i.e. site leadership changes). * Coordinate with IT security team members to make updates to HCM security profiles. * Create and produce scheduled and ad-hoc audit reports and obtain validation from business to maintain overall data integrity. * Maintain a high degree of data integrity, ease of acquisition, with appropriate level of both granular and aggregated visibility. * Demonstrate a clear understanding of current HR data business functionality, author business requirements, system and process mapping specifications, and existing data models. * Provide subject matter expertise by accurately interpreting, counseling, communicating with and educating team mates in the business on the importance of data integrity and data consistency across the system landscape. * Create and maintain learning templates containing all data elements required and use them as both reference and as a teaching tool for HRIS users to understand how to accurately perform and validate data entry. HRIS Administration * Act as support and administrative backup for HRIS Manager. * Demonstrate strong functional HR knowledge with a clear understanding of all HR processes and data as related to HR systems. * Demonstrate a holistic view of the global systems structure and HR processes, which lead to solid, independent, confident decisions. * Provide excellent client service skills with understanding of and in support of the Guiding Principles. * Successfully provide resources as the functional and technical knowledge expert while proactively troubleshooting issues and conducting continuous knowledge transfer with end users. * Demonstrate strong interpersonal skills including the ability to collaborate with team members and across functions and groups to understand and develop appropriate technology solutions for business needs. * Demonstrate organized, focused time management skills and the ability to prioritize multiple tasks to meet established deadlines.
