Your Opportunity

Take the first step towards designing your career with Stantec. We have an exciting role and opportunity for an HR Support Coordinator to join our team. Reporting to the Team Lead of HR Support, this person will need excellent organizational and time management skills, as well as the ability to communicate comfortably with employees at all levels within the organization to support a wide variety of administrative tasks. The primary duties will be supporting the administration of Human Resources and ensuring compliance with our Form I9. Additionally, responsibilities may include coordinating and responding to internal and external inquiries, maintaining employee files, and unemployment insurance claims. Join our collaborative HR team and play an important role in supporting the administrative needs of our HR partners and employees. This role can be hybrid and is in Chandler Arizona office.

Your Key Responsibilities

US I-9 Administration

  • Liaison between Stantec employees, office contacts and E-Verify.

  • Ensures I-9s are completed timely and within federal guidelines.

  • Assists in the reverification of employment documents for foreign workers.

  • Performs miscellaneous audits as needed.

HR Compliance Administration

  • Partner with HR Client Services and complete Unemployment Insurance claim forms.

  • Coordinate bureau of labor statistics reporting.

  • Liaise with HR, Payroll, IT and various third-party vendors on compliance administration, primarily for North America.

  • Perform miscellaneous HR audits.

HR Support Activities

  • Maintain HR employee files and respond to document requests as needed.

  • Create letters to verify employment and provide business travel letters.

  • Assist with HR invoice payment and tracking.

  • Support specific tasks for HR programs.

  • HR Receptionist- coordinate and respond to a variety of mail and email related to HR matters, collaborating with others as required. Some hard copy mail is coordinated in Office.

  • Listen to, respond, and/or route voice messages to the appropriate team.

Qualifications

Your Capabilities and Credentials

  • Previous experience supporting I-9s and E-Verify authorizations.

  • The ability to work autonomously, reviewing work on a regular basis and consistently meeting role objectives.

  • Strong Microsoft Office Suite skills.

  • Customer service, communication and time management skills.

  • Experience with HR Systems.

  • Knowledge of Human Resources general policies, procedures, and guidelines.

Education and Experience

  • High school diploma or equivalent.

  • Minimum of five to six years of related experience, or an equivalent combination of education and related experience.

Typical office environment-working with computers and remaining sedentary for long periods of time.
