Position Overview:

The purpose of the Services Specialist's position is to manage the coordination, scheduling and the delivery of a variety of supports services to the facility including general human resources, communication, payroll and purchasing. Additional support activities may also be provided in the following areas: safety, customer service, shipping & receiving, production reporting, warehouse & inventory management as determined by the facility.

Responsibilities:

Core Responsibilities

General human resources and communication activities necessary to administer accurate timekeeping and reporting, payroll, maintenance of personnel files and records, interpretation of policies and procedures, counsel to staff members and assistance to employees as needed

  • Ensure new hire protocol (job offers, drug testing, background checks, etc) is followed. Conduct new employee orientation to foster positive attitude toward company goals.

  • Process payroll (payroll deductions, reporting, time card review, historical edits)

  • Validate employee eligibility and earnings for annual CIP bonus payouts

  • Maintain employee data in HRIS system, including annual rate increases, employee deductions, etc

  • Facilitate the Leave of Absence process.

  • Ensure all job postings and HR postings are posted as needed.

  • Maintain confidential personnel files

  • Act as primary point of contact for HR questions and requests in the absence of the HR leader

  • May assist supervisors/managers in conducting employee evaluations and disciplinary actions

  • Organize all company functions, parties, picnics, celebrations

  • Oversee Communication efforts including but not limited to plant newsletter, company announcements, compliance bulletin boards, quarterly town hall meeting

  • Ensure accurate invoices and payment processing to non-contracted vendors (i.e., employee medical evaluations, safety PPE, uniforms, etc.)

  • Purchase basic office/production/laboratory/safety supplies as needed

  • Track, investigate and resolve accounting issues (i.e., verification of shipping charges, account coding)

  • Financial support (accounts payable/accounts receivable) and general office purchasing activities as needed

Additional Responsibilities

As determined by the facility, additional support activities may be provided in one or more of the following areas:

Safety and compliance

  • Assist with Safety training/reporting

  • Compile safety statistics

  • Conduct safety walks and report safety concerns or activities

Production Purchasing and Reporting

  • Coordinate the timely ordering and or delivery of raw materials

  • Manage raw material inventories and reconcile receipts of incoming raw materials

  • Manage finished goods inventory

  • Reconcile raw material usage issues and make journal entries into the accounting system (which may be SAP)

  • Provide plant capacity and product availability updates to customer service and sales as needed

  • Act as backup to S/R Supervisor, materials coordinator, production scheduler as needed

Customer Service

  • Assist with customer billings

  • Maintain customer account records

  • Backfill for customer service representatives as needed

  • May be required to perform other related duties as assigned

Requirements:
(education, skills and abilities)

High school/technical school diploma with a minimum of 3 years general human resources, payroll, and basic accounting experience in a manufacturing environment

  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook (Solid)

  • Ability to learn and understand other software applications such as SAP, online travel reservations and electronic expense reporting

  • Strong interpersonal, verbal and written communication skills (Solid)

  • Strong organizational skills (Solid)

  • Ability to manage and prioritize multiple task to meet deadlines (Solid)

  • Ability to maintain confidential information (Solid - Expert)

  • Fundamental mathematical skills and accounting knowledge (Basic)

  • Solid knowledge of local/State/Federal/Government rules and regulations regarding privacy laws, health records, etc.

  • Ability to work independently and in a team environment (Solid)

  • Ability to interface at all levels of the organization, both internally and externally (Solid)

  • Working knowledge of human resources policies and procedures (Basic -- Solid)

  • Minimal travel required (0 -- 10 days per year)

  • May be required to lift, carry, push or pull up to and including 25 pounds

  • Work environment is typical of an office setting
