The ADA Coordinator is responsible for ensuring compliance with the Americans with Disabilities Act (ADA) within USU, helping employees with disabilities to receive necessary accommodations to perform their job duties effectively. This role involves evaluating accommodation requests, developing individualized plans, and collaborating with various departments to implement these accommodations. Additionally, the coordinator works collaboratively with other functional areas in Human Resources, such as Employee Relations and the Office of Equity to promote and integrate the principles of equal opportunity, affirmative action, nondiscrimination, and inclusiveness at USU.

Responsibilities

Incumbents in this classification report to the Human Resource Specialist II (Benefits Supervisor).

  • This position must maintain strict confidentiality with case information.

  • Conducts and documents moderately complex assignments where analysis of situations and data requires the review and interpretation of a variety of factors.

  • Conducts intakes with employees regarding their accommodation requests.

  • Oversees and engages in an interactive process with the employee, supervisor, and medical providers as necessary.

  • Advises leadership on ADA matters and conducts ADA training for leaders.

  • Completes accommodation resolutions for review and signature.

  • Keeps thorough documentation during the entire case process.

  • Accesses and utilizes on and off-campus resources to provide viable reasonable accommodations, such as our disability vendor.

  • Works with supervisors to make sure the accommodation is provided as outlined.

  • Create and maintain the employee accommodation case files.

  • Manages the ADA website and accommodation application process.

  • Input case resolutions into the HRIS.

  • Occasionally participate in university investigations.

  • Draft reports related to accommodations for leaders.

Qualifications

Minimum Qualifications:

  • Four years of experience in Human Resources; or an associate degree/business administration certificate plus two years of experience in human resources is required.

  • Experience partnering effectively with all organization levels.

  • Must be able to travel occasionally to other USU statewide locations.

Preferred Qualifications:

  • Experience reviewing and working with highly confidential data.

  • A professional human resources certification.

  • Intermediate knowledge of workplace compliance.

  • Experience in responding to and maintaining compliance with external regulatory requirements.

  • Experience in working with Case Management systems (Service Now Case Management is a plus), complaint handling, and preventive training.

  • Prior experience working with ADA regulations and compliance issues is highly desirable.

  • In-depth understanding of policies overseen by the Office of Human Resources with policies, laws, and regulations.

  • Working knowledge and experience interpreting and analyzing employer policies and implementing processes, protocols, and procedures.

Knowledge, Skills, & Abilities:

  • Knowledge and understanding of the Americans with Disabilities Act (ADA), Section 504 of the Rehabilitation Act, and other relevant disability laws and regulations.

  • Knowledge of reasonable accommodations processes and best practices for implementing accommodations in the workplace.

  • Ability to analyze and interpret legal and regulatory information to ensure compliance.

  • Competence in identifying issues, developing solutions, and implementing effective processes.

  • Ability to maintain a positive attitude and contribute both as an individual and a team member to achieve the goals of the department.

  • Strong organizational skills: including the ability to effectively prioritize and meet deadlines, as well as multi-task in a fast-paced environment.

  • Able to learn and utilize multiple tools/applications/systems, including proficiency in Microsoft Word and Outlook.

  • Able to identify issues and gaps and propose solutions.

  • Able to make connections and build partnerships.

  • Effective written and verbal communication skills to effectively interact with employees and supervisors. Skills in seeking more information and asking questions.

  • Sensitivity to cultural differences, ability to communicate respectfully and to work collaboratively.

  • Gives full attention when others are speaking; listens to understand, asks questions as appropriate, and does not interrupt.

  • Acts professionally when encountering customers who, at times, may have high emotions.

Advertised Salary

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
