Position Summary

The School of Education & Information Studies (Ed&IS) comprises two academic departments, 16 research centers, several faculty research projects, and two partnership schools external to UCLA. Under the direction of the Human Resources Manager, the HR & Payroll Coordinator will provide support to a wide range of Human Resources & Payroll activities while proactively promoting positive customer experience for an assigned list of Ed&IS staff population, including but not limited to casual restricted employees.

Responsibilities include ensuring the timely and accurate review, preparation, processing, and auditing of payroll, time and attendance, personnel, pay path, and workforce administration transactions. The HR & Payroll Coordinator ensures accurate data entry and oversight of information related to personnel and payments requested to minimize processing errors. The incumbent will utilize campus data systems like Campus Data Warehouse (CDW) to complete audits, identify mistakes and trends, and ensure compliance with federal, state, and UC policies and practices.

The incumbent will serve as a point of contact for payroll-related questions and HR-related matters for their assigned employee populations. The incumbent will advise on both routine and non-routine questions, analyze problems or issues that arise and determine the appropriate action or next steps, and escalate issues as appropriate. As needed, the incumbent will collaborate with internal and external departmental offices such as UCPath Center, Central Resources Unit (CRU), Division of Graduate Education, and other Campus departments to obtain appointment information and authorization for employment and payroll-related questions.

The incumbent also collaborates with Ed&IS Managers, Professional Staff in infrastructure units, and the Business Office. The incumbent must be able to interpret policy, take initiative, make sound judgments, and independently prioritize work while maintaining confidentiality. HR & Payroll Coordinator will work closely with the other members of the HR Team in developing standard operating procedures, department resources, documents, and training tools for use internally in the HR Office and distributing to units; developing systems and databases to track hires, creating internal staffing reports for various uses, cases and outstanding actions to ensure timely follow up and compliance; drafting school-wide HR related communications.

Qualifications

2-4 years Working in an administrative department with payroll or Human Resources responsibilities. (Required) Ability to monitor/assess own performance and that of other individuals, or organizations to make improvements or take corrective action. (Required)Ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. (Required)Strong analytical and problem-solving skills. (Required)Ability to function effectively with multiple deadlines, changing priorities and frequent interruptions. (Required)Ability to establish and maintain cooperative working relationships with co-workers, managers, and campus departments in order to formulate program sand arrive at solutions. (Required)Advanced mathematical and quantitative skills to calculate salaries, payroll documents, formulas, expense transfers, vacation and sick leave accruals, payroll changes, the creation of financial analysis, and complete other necessary forms. (Required)Experience using the UCPath (PeopleSoft), Payroll Time Reporting (TRS) systems, and other online systems (PeopleAdmin, Jasmine, GoGrad, CDW, Document Direct). (Preferred)Demonstrated intermediate skills using Microsoft Office products (word, excel, outlook, PowerPoint) and querying and analyzing data utilizing PC based tools. (Required)Knowledge of University Personnel and Payroll policies, procedures, and organizational structure. (Preferred)Ability to make oral, group, and one-on-one presentations to provide information, explain policies and procedures, and answer questions. (Required)Ability to use a high level of discretion and maintain strict confidentiality. (Required)

Education, Licenses, Certifications & Personal Affiliations

Bachelor's Degree in a related field and/or equivalent combination of education and experience/training. (Required)
