North America HR Operations Specialist

This position provides HR operations support for North America, including onboarding, benefits administration and country HR

Position reports into Americas/EMEA Region HR Operations & Employee Relations (ER) Leader

Member of North American HR Operations team

Key responsibilities:

Handle aspects of benefits and leave administration, including audits, vendor invoices and escalation management.

Provide support with the distribution of employee communication to promote new company programs, changes and cyclical activities.

Monitor benefit life event activities, partner with employees and vendors to ensure appropriate documentation is received to complete related processes. Document and maintain HR Operations Standard Operating Procedures and update as appropriate.

Participate and lead interlock meeting with US Benefits team. Tracks and ensures timely resolution of issues.

Responsible for all aspects of US new employee orientation, including planning, logistics and presentation of weekly new employee orientation and other new hire events. Provide follow up information for new hires to successfully onboard and enroll in benefits.

Handle second level escalations from HR Service Center for US related items. Identify administrative work suitable to transition to Global HRSC. Participate in transition, training and ongoing monitoring of HRSC support of North America.

Conduct root cause analysis on errors or escalations to understand source of problem. Recommend and implement solutions to predict and prevent future errors. Contribute to culture of continuous improvement.

Identify opportunities to streamline and improve processes. Lead and implement initiatives to measurably improve processes and programs.

Collaborates and promotes knowledge sharing with peers.

Handles other HR operations tasks and participates on project teams, as appropriate.

Acts as back-up to other team members, including HR Ops, AskHR team and ER lead.

JOB SPECIFICATIONS

Education

BS Degree within Business/ HR or related field

Experience

Minimum 3 years experience in HR, preferably HR Operations and/or HR Shared Services

Previous experience in detail orientated roles and high-quality standards

Experience in dynamic, face paced and high performing environments

Plans, assigns and supervises the activities of the Job Requisition Coordinators. Activities include establishing goals and objectives; developing guidelines, procedures, and policies; developing standards for achieving goals; coordinating and evaluating program activities. Plans, assigns, and supervises the work of the Requisition Coordinators. Provides direction and leadership, including management and development of the hiring staff. Serves as liaison between regional and program staff and Health and Human Services Human Resources. Manages and facilitates agency workforce projects and initiatives. Manages or oversees compliance with workforce business practices and HHS Human Resource policies and procedures. Establishes unit goals and objectives, monitors performance and develops and implements continuous improvement and other quality initiatives. Manages/leads internal and external workgroups and meetings to develop, implement, oversee, and evaluate initiatives to improve the efficiency and effectiveness of agency workforce business practices. Prepares and presents executive briefings, proposals, and reports relating to agency workforce. Work is performed under limited direction and with extensive latitude for the use of initiative and independent judgmentEssential Job Functions: 1. Provides direction and leadership to staff supporting workforce operations. 2. Oversees preparation/prepares management reports, project updates, summaries, studies, briefings, plans, bill analyses/impact statements, cost/benefit analyses, and other complex documents. 8. Serves as primary liaison to and between HHS Human Resources, management, program and operational staff.
