POSITION SUMMARY

This position is accountable for supporting field HR functions for the Atlantic and Caribbean region. The Intern, under close supervision, will perform a variety of entry level HR tasks and special projects while establishing and maintaining effective working relationship with those contacted in the course of work.

The incumbent must support the guiding beliefs and core values of Orion, which are centered on Quality, Safety and Production (each of equal weight and importance) but, most importantly, with each built upon the all-important foundation of Integrity.

SPECIFIC RESPONSIBILITIES

  • Assists HR department with HR initiatives and programs.

  • Works closely with different departments to provide HR support in a variety of areas.

  • Coordinates all pre-employment alcohol and drug screens for potential candidates who are being considered for employment with the Company, including pre-employment physical exams as required.

  • Administers and ensures that the background check, MVR check and E-Verify process has been completed on all new hires and that all correspondence with regard to alcohol and drug test results are confidentially filed in the secure medical files.

  • Coordinates scheduling of new employee orientations with HR and HS&E Departments under the guidance of the HR Coordinator.

  • Assists the Human Resources Manager in distributing benefit program announcements and changes to all employees.

  • Creates and maintains personnel files on all active and inactive employees placing all necessary and required paperwork in their appropriate folders.

  • Performs onboarding orientations as may be required for new employees providing them with an overview of the company, the Orion group benefit package and review of applicable HR and company policies and procedures.

  • Processes and files Form I-9 documents that verify employment eligibility and keeps these documents separately for compliance.

  • Maintains confidentiality of Company and Employee information.

  • Authorized and obligated to stop work on any task or series of tasks whenever an unsafe condition or situation is anticipated or is observed.

  • Complies with all applicable laws, regulations and Company policies and procedures, and is subject to appropriate disciplinary action (including dismissal) for failure to do so.

  • Reports any and all violations of applicable laws, regulations or Company policies and procedures promptly, and is subject to appropriate disciplinary action (including dismissal) for failure to do so.

  • Performs other related administrative and technical duties as may be assigned or requested by immediate supervision (such as certification training, safety training, procedure review, etc.).

  • All employees, current and former, must maintain confidentiality by not disclosing to others any confidential, proprietary or trade secret information belonging to the Company.

POSITION REQUIREMENTS

Individual in this position must be enrolled in an accredited college or university, skills performance plan or possess equivalent work experience which demonstrates the ability to successfully perform the duties of the position. Individual must have computer proficiency with a working knowledge of Microsoft Word, Excel, and PowerPoint and be able to word process at least 60 WPM. The position also requires good interpersonal skills and the ability to effectively relate to employees at all levels of the organization.

The incumbent must be well organized and a self-starter with the ability to work with minimal supervision. Must be flexible and able to adjust to sudden changes in work priorities and prioritize work to accommodate those changes.

The Company expects and requires incumbent and each of its other employees to observe and fulfill the above and all other safety responsibilities and actively work toward maintaining a safe workplace. Failure to do so can result in disciplinary action, up to and including termination of employment.

PHYSICAL/MENTAL REQUIREMENTS

The incumbent must be able to perform the essential functions of the job with or without reasonable workplace accommodation.

The individual must also be able to wear and properly utilize appropriate personal protective equipment (PPE) to work or visit within areas where it is required. This includes hard hat, safety glasses, respirators, ear plugs, steel toed shoes, or other protective equipment as required by the work performed and location the work is being done. In addition, lifting and carrying objects up to 10 lbs. may be required on occasions.

This individual must also have the ability to identify critical issues and formulate action plans with all levels of management, including corporate.

The incumbent must possess the ability to remain calm during emergencies and respond appropriately as dictated by the circumstance of the incident and as directed by the Safety Representative or other management personnel. Must be capable of evacuating the work area in a timely manner should an emergency situation arise.
