Job Summary:

Novartis is currently searching for a Customer Care Team Lead to join the HR team in Prague and work on behalf of the South region.

Job Purpose:

The purpose of this role is to manage a team of HR Customer Care Specialists and Experts dedicated to region South (Spain, Italy, Portugal, Greece) ensuring consistent SLA fulfillment and high customer satisfaction. To be the first point of contact for escalation and resolution of operational queries/issues within the area of responsibility and to be a driver of continuous improvement initiatives. Once the transition project is finished and all countries migrated, this team will serve approx. 6,500 associates in 4 countries

Key Responsibilities:

  • Monitor the overall performance of the team of HR Customer Care Specialists and Experts to achieve SLAs

  • Lead, coach and motivate and develop the team utilizing team and individual performance results

  • Investigate and resolve queries in the area of responsibility escalated by the HR Customer Care Specialists and Experts, ensuring appropriate and timely communication to all parties

  • Manage workload by allocating team resources in line with peak periods, vacation, etc. (capacity planning)

  • Drive continuous improvement initiatives

  • Manage project execution

  • Ensure that the team is properly trained

  • Manage Knowledge Base for countries in scope

  • Ensure compliance in line with Data Privacy and Protection guidelines and other relevant legislation

  • Provide support for the transition period

  • Perform other tasks as assigned by Line Manager

  • Systems used: SAP, ESS/MSS, Telephony

  • Ticketing tool: Quest/ ServiceNow going forward

What Your Day-to-Day Activities Will Be… Sourcing and Recruiting 70% * Partner with our Plant Manager to evaluate hiring needs and develop a tracking system in order to track progress against these goals. * Define and execute a search strategy for each position which includes sourcing opportunities, candidate screening methodologies, progress reporting, and closing techniques. * Proactively recruit passive candidates as well as screen incoming active candidates. * Update all recruiting systems throughout each step of the recruitment process to enable accurate and timely reporting for business analysis purposes. * Advise and influence our Production Managers regarding reasonable expectations during the recruiting process until the new hire reports to work. Proactively update them throughout the process so that they understand current and next steps needed to progress. This includes leading weekly or regular face-to-face meetings to review current open positions and the status of filling the roles * Support our Production Managers in their decision processes to advance to the next step in the sourcing, screening, or hiring process. Advise on suitable candidates for our production roles. * Advise candidates regarding the value of the Chart total compensation package and utilize closing skills to extend and close offers. * Own coordination of the employee's onboarding process which includes connecting with them prior to their first day and arranging the details of their orientation process with them. Project Work 30% * Management of small to mid-size projects including identifying and analyzing preliminary business needs, budget considerations, time and resource estimates, and defining the project scope and objectives. * Create and maintain communication plan to inform project status/issues/risk to business stakeholders and operational management Your Professional Experience Should Be… * Must possess excellent verbal and written communication. * Demonstrated ability to collaborate and build strong, trusting relationships across the organization and divisions. * Ability to use research methods effectively, including data collection, diagnostic, and analytical skills * Experience in proactive, cold calling, networking, and passive recruiting roles. * Must demonstrate an ability to interview candidates and assess their capabilities of fitting in with the organization and position. * Should embody a combination of "detective" skills, enabling them to find prospects and candidates, as well as sales skills, enabling them to influence and close candidate hires.
